We are seeking a highly organised and detail-oriented Office /Accounts Administrator to join our team. The ideal candidate will possess a good background in administrative tasks and office management, demonstrating excellent computer skills and phone etiquette. This role is essential for ensuring the smooth operation of our office, supporting various departments, and maintaining efficient communication.

Responsibilities :

Shipping & receiving:

Entering containers' and truck's planning for reception

Checking data concerning deliveries and receptions on GPS software (hub, scanner)

Synchronizing data

Entering NC

Printing BOLs

Time keeping:

Record, report and supervise the working hours of the temporary workers.

Maintain and organize time sheets for the temporary workers to assist with invoicing.

Data entry:

Create Purchase Request for office and site.

Archive all personnel and provider paperwork

Keep up with Purchase Orders for the site. Receive material in SAP.

Organize and respond to emails following the tasks (shipping, receiving, invoicing, time keeping) in a timely manner

Report activity to management and file documents on the server.

Update scanner weekly

Answer all incoming calls professionally

Office Duties:

Order general office supplies (paper, pens, clipboards, etc.)

Organize inventory for ease of restocking

Manage the cleanliness of main office

Archive all personnel and provider paperwork

Invoicing:

Organize and keep track of all invoicing from providers

Control, check + email invoices

Account Receivables:

Enter invoices in SAP

Keeping up with all invoices from providers + archiving

Control the amount and copy them on the server + SAP

Communicate claims and invoice corrections with providers and upper management

Core duties and responsibilities include the following. Other duties may be assigned.

Qualifications

  • Previous office experience is essential; administrative experience is highly desirable.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint,SAP) and Google Workspace applications..
  • Excellent organisational skills with the ability to manage multiple tasks simultaneously.
  • Demonstrated phone etiquette with strong communication skills.
  • Ability to read and interpret documents
  • No special certification required
