Job Overview

Procurement & Supplier Management

· Raise purchase orders for all company departments using Sage.

· Source equipment, goods, and services to secure better deals and more profitable suppliers.

· Vet new suppliers using the approved supplier form and maintain a preferred supplier list.

· Place orders with suppliers and track deliveries.

· Maintain strong supplier relationships, resolving queries and negotiating terms where necessary.

· Reconcile monthly supplier statements, chasing missing invoices and resolving discrepancies.

· Verify new and existing supplier bank details.

Stock & Inventory Management

· Manage PPE ordering, allocation, and stock control.

· Receive goods, process delivery notes in Sage, and notify relevant staff of arrivals.

· Arrange and maintain store rooms, agreeing stock levels with department managers.

· Conduct monthly stock-taking and maintain accurate stock records.

· Allocate equipment in and out of stores.

Accounts & Finance Support

· Process supplier invoices and prepare BACs payments.

· Import Sage invoices into CRM daily and check for duplicates.

· Assist with Barclaycard reconciliations.

· Liaise with the building department regarding deposit journey entries.

General Duties

· Maintain accurate purchase order spreadsheets and records.

· Support other departments as required, performing duties that match the scope, spirit, and purpose of this role.

The Purchasing Administrator is responsible for sourcing, procuring, and managing relationships with vendors and suppliers. The role ensures the organisation secures high-quality goods and services at competitive prices while maintaining excellent supplier relationships. The role also involves managing stock, processing purchase orders and invoices, and supporting operational efficiency across all departments.
