Job Overview

We are seeking a detail-oriented and highly organised Contract Administrator to join our family run business, established since 2007. You would require to be the main day-to-day contact for Tough Water Solutions Customers'

The successful candidate will be responsible for administrative duties and scheduling support, to keep jobs, engineers and paperwork organised to deliver a reliable and professional service.

This role offers an excellent opportunity for individuals with preferably strong administrative skills and a keen eye for detail to contribute to the smooth operation of our organisation. The Contract Administrator will play a vital role in maintaining positive relationships with clients and suppliers, supporting the organisation's strategic objectives.

Responsibilities

  • Maintain the job management system (creating jobs, updating status, uploading photos and reports).
  • Chase missing job sheets, reports and ensure they're filed correctly
  • Assist the scheduling of engineers daily and weekly work, optimising routes and time on site.
  • Book in jobs with clients, sending confirmation emails and RAMs where required.
  • Prepare basic quotations or proposals from templates (with guidance from MD/Engineers)
  • Raise Purchase orders and keep track of deliveries and stock for common parts, sample bottles, filters etc.
  • Ensure Sub Contractors Compliance is up to date and filed away correctly
  • Support invoicing by ensuring job details, PO numbers and completed reports are available.
  • Act as the first point of contact for customers by phone and email
  • Build and maintain strong relationships with key contacts at each site
  • Handle general enquiries

  • Skills

  • Previous admin experience in a service/engineering business is ideal but not essential
  • Strong organisational skills and attention to detail
  • Confident on the phone and email with customers
  • Competent with Microsoft Office, Word, Excel and Outlook however also happy to learn new systems
  • Ambitious and open to progressing within the role

Qualifications

  • Right to work in the UK

Job Types: Full-time, Part-time, Permanent

Pay: £25,000.00-£30,000.00 per year

Expected hours: 40 per week
