The Role

We are looking for a Sales, Operations and Marketing Administrator responsible for managing all sales administration and customer services aspects of our business, as well as supporting our small marketing team. This role plays a key part in ensuring optimum sales operations, maintaining excellent customer service, and assisting with the overall development of the company.

About us

Appia Healthcare Limited is a small friendly privately-owned company who was established in 2011. It is based in Farley Green near Guildford.

Appia is specialised in OTC consumer healthcare and distributes its own-brand products as well as licensed distribution products . Our focus is on the UK and European retail healthcare markets, e-commerce and some overseas sales. Current products lines include Cryotag, an innovative skin tag remover and Auritech, a range of intelligent hearing protectors .

We are a flexible and friendly organization, and work to accomplish our goals with integrity and passion.

Appia's directors have many years of healthcare & business experience with a particular strength in OTC consumer healthcare, cosmetics & food supplements.

Key Responsibilities

Sales Support

  • Serve as the primary point of contact for all direct and trade customers, providing prompt support on orders, deliveries, and aftersales inquiries.
  • Process and manage all sales orders, ensuring accuracy and timely entry into the system.
  • Invoicing and follow up when required for payment
  • Resolve customer issues or complaints professionally and efficiently, escalating when necessary.
  • Seek positive reviews to share online and social media platforms

Operations support

  • Prepare the forecast for all skus and organise the replenishment from suppliers and retailers, ensuring zero OOS situations.
  • Manage transport companies and ensure optimal service
  • Manage the general administration of smooth business: maintenance of contacts list, ordering of stationary etc.
  • Identify opportunities to streamline processes and proactively suggest improvements

Marketing support

  • Support the marketing team with the optimisation of the listings (content development) & reviews
  • Assist with the reporting of sales in the UK and Europe
  • Monitor online and social media presence, update websites
  • Support marketing team in day to day implementations of marketing activities

Requirements

Experience

  • Proven experience in sales administration and customer service, or a similar administrative role.
  • Experience in ecommerce
  • Experience with working internationally
  • Ideally understanding of international transport
  • Used to work in a small team

Personal Skills

  • Strong organisational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work independently
  • Ideally fluent on a second major language

The position is ideally for 20-25h a week, split across Monday to Friday so effectively 4-5h a day ; it requires work every day. Working hours are flexible between normal office working hours (9am and 5pm).

Location: can be split between working from our office and working from home. Min 3 days a week at our office in GU5 9DP.

Salary: £20-£23/ hour pending on contractual structure

Job Types: Part-time, Permanent

Pay: £20.00-£23.00 per hour

Expected hours: 20 – 25 per week
