Role Purpose
We're looking for an organised and proactive Team Assistant to support our team. You'll play a key role in ensuring the smooth running of legal matters, client interactions, and internal processes. This is a fantastic opportunity to develop your skills in a fast-paced, professional environment while gaining exposure to corporate and commercial law.
Key responsibilities:
Legal & Matter Administration
- Draft accurate letters, emails, and legal documents.
- Keep matter details updated and file correspondence correctly.
- Manage new enquiries, conflict checks, and client onboarding.
- Use legal systems and tools (Visualfiles, iManage, DocuSign, etc.).
- Monitor CoSec inbox and complete filings.
- Create CRM records after business development events.
- Assist with completions (searches, DocuSign, payments).
- Provide cover for Employment team when needed.
Team Administration & Coordination
- Manage calendars and schedule meetings/events.
- Organise meeting logistics and prepare agendas/minutes.
- Arrange team socials and celebrations.
- Book travel, accommodation, and hospitality.
- Monitor inboxes during absences and handle routine queries.
- Liaise with other departments for smooth workflow.
Financial Administration
- Prepare invoices and WIP reports.
- Submit accurate expense claims.
- Use SOS and adapt to new finance systems.
- Ensure compliance with financial policies.
Key Measures of Success
- Tasks completed accurately and on time.
- Efficient coordination of calendars, meetings, and travel.
- Legal documents meet firm standards with minimal errors.
- Client onboarding and matter management handled promptly.
- Billing and WIP reports delivered without discrepancies.
- Positive feedback from fee earners.
- Ability to prioritise and manage multiple tasks effectively.
What We're Looking For:
Experience & Knowledge
- Previous legal or professional services experience is essential.
- Strong admin skills and system proficiency.
- Basic understanding of corporate and commercial law desirable.
Skills & Abilities
- Excellent organisational and prioritisation skills.
- Clear and confident communication.
- High attention to detail and accuracy.
- Proficient in Outlook, Teams, Word, and Excel.
- Proficient in Microsoft Office and adaptable to new systems.
