The role
The
Project Administrator
will provide professional front-of-house and administrative support to a busy construction site office, ensuring visitors are welcomed, calls and correspondence are managed efficiently, and the office remains organised and presentable. Key duties include organising meetings and site inductions, overseeing document control and drawing management, managing site passes and entry systems, coordinating travel and accommodation, and ensuring site paperwork and training records are accurately processed. The role also involves monitoring office supplies and budgets, liaising with staff, suppliers and clients, and using software such as Microsoft Office (and Viewpoint for Projects where applicable) to maintain effective office systems. Strong communication, excellent organisation, attention to detail and a commitment to high standards of service and Health & Safety are essential.
Key responsibilities:
- Providing direct support to Managers and Site Staff.
- Carrying out general clerical duties such as typing, photocopying, printing, filing, binding documents and minute taking.
- Administration and distribution of post.
- Managing refreshments for meetings.
- Facilities management/housekeeping tasks such as maintaining kitchen supplies and ordering stationery, furniture and PPE.
- Copying and printing large batches of drawings (separately from general "drawing management").
- Recording office expenditure and managing petty cash (beyond the general mention of budgets).
- Implementing and maintaining office procedures/administrative systems and introducing new best practices for Front of House services.
- Monitoring office supplies and negotiating terms with suppliers to ensure cost-effective orders.
- Managing databases (separately from general software use).
Personal Attributes:
- Experience as an office administrator, office assistant or relevant role essential
- Previous experience of working in a construction site office would be a huge advantage
- Strong communication and relationship-building skills
- Proficient use of Microsoft Office e.g. Microsoft Word, Excel, Outlook Email
- Previous experience in Viewpoint for Projects is desirable
- Excellent organisational skills
- Excellent written and verbal communication skills
- Display high standards of service and presentation
- Budgeting skills is desirable but not essential
- Accuracy and great attention to detail
