Personal Assistant / Operations Administrator

Location: Fully Remote (UK-based)

Type: Full-time

About the Role:

This is not a traditional PA role.

You'll work closely with two senior leaders to protect their focus, ensure execution happens without chasing, and design their time intentionally.

This role suits someone who enjoys ownership, structure, and being trusted to act with judgment — not someone looking for task-by-task direction.

Your Purpose:

To remove friction from how the leaders work, so they can focus on decisions and work that materially move the business forward.

What You'll Do:

Executive Support:

  • Proactively manage and defend calendars
  • Gatekeep meetings, requests, and interruptions
  • Manage executive inboxes with discretion
    Ensure meetings are prepared and decision-ready

Execution & Follow-Through:

  • Track actions, owners, and deadlines
  • Follow up independently with stakeholders
  • Escalate risks early and appropriately
    Ensure commitments turn into outcomes

Operations & Administration:

You'll own or coordinate:

  • Recruitment admin, onboarding/offboarding, contracts, holidays
  • Invoices, receipts, payroll coordination
  • Office & IT admin (devices, access, antivirus, SOPs)
  • Travel and property coordination
    Internal handbooks and processes

How You'll Work:

  • You'll operate with clear authority and boundaries
  • You'll make decisions within agreed rules
  • You'll escalate only when something is high-risk, irreversible, or time-critical
    You'll work to a clear weekly and monthly operating rhythm

What Success Looks Like:

  • Leaders are focused, not reactive
  • Execution happens without chasing
    Weeks feel calm, intentional, and predictable

What We're Looking For:

  • Experience as a PA, EA, Operations Administrator, or similar
  • Strong organisation, judgment, and attention to detail
  • Confidence working with senior stakeholders
  • Clear written communication
  • A bias toward structure, clarity, and follow-through

(You'll coordinate specialists — you don't need HR, finance, or IT qualifications.)
