Central Health London is a newly launched, high-profile private primary healthcare clinic built on the success of our long-established and highly regarded practice in Hong Kong, founded by Dr Lucy Lord MBE. Bringing this heritage of excellence to Marylebone, we provide fully integrated primary healthcare under one roof, spanning General Practice, Obstetrics, Paediatrics, Psychiatry and Psychology.
We are seeking an experienced and highly organised Receptionist and Referral Co-ordinator to support the clinic and, in particular, our Psychiatry, Psychology, and Counselling teams. This role is central to delivering a seamless and reassuring patient experience at our clinic at 23 Devonshire Place.
The successful candidate will combine exceptional administrative capability with a compassionate manner and sound judgement. As well as being a key front-of-house presence, they will manage and triage referrals into the mental health team, ensuring timely communication and appropriate allocation of appointments.
Position Overview
Key Responsibilities
Front of House & Patient Experience
- Welcome patients and visitors warmly, ensuring every interaction reflects the clinic's high standards of care and professionalism.
- Provide comprehensive administrative and front-of-house support to medical professionals, ensuring smooth daily operations.
- Be patients' last touchpoint before departure, ensuring the visit has gone smoothly, no outstanding queries and payment taking.
Administration and Co-ordination
- Manage clinical diaries, schedule appointments, and coordinate patient visits efficiently.
- Draft and send letters, reports, and other correspondence, as required, with accuracy and professionalism.
- Liaise with patients regarding enquiries, appointments and service information.
- Maintain accurate patient records and always ensure confidentiality.
Mental Health Referral Co-ordination
- Monitor the Psychiatry and Psychology inboxes to support with time triage of referrals.
- Use clinical judgement (with support and clear protocols) to allocate cases appropriately (in conjunction with clinicians) and ensure patients receive timely communication.
- Work collaboratively with clinical and administrative teams to support patient flow and clinic objectives.
Qualifications
- Previous experience in a Front of House or medical administrative role, ideally within a private healthcare or patient-facing environment.
- Training, support and guidance will be provided; however, experience or familiarity with mental health services is preferred.
- Warm, professional communication style, with the confidence to interact with patients, clinicians, and external partners.
- Strong organisational skills and the ability to prioritise and stay calm under pressure in a busy clinic setting.
- Strong knowledge of medical terminology and procedures.
- High level of accuracy and attention to detail in managing appointments, records, and correspondence.
- Comfortable using digital systems such as Microsoft Office and healthcare software (experience with Semble or similar is an advantage).
