Job Summary

We are seeking a detail-oriented and strategic Bid Manager to join our dynamic team. The ideal candidate will be responsible for overseeing the bid process from inception to completion, ensuring that all proposals are competitive and aligned with our business objectives. This role requires strong project management skills and the ability to collaborate effectively with various departments, including sales, marketing, and business development.

Reports to: FlamePro Sales Director

Core Purpose

To win tenders, not just fill them in. You'll take ownership of every stage of the bid process — from RFI and PQQ through to full ITT responses, commercial proposals, and contract handover — across both Fire and Defence divisions.

You'll build structure, speed, and consistency into how FlamePro goes after tenders, leading the charge on process, quality, and accountability. This is a role for someone who thrives in a fast-moving, hands-on environment, using smart systems and AI tools to make every bid sharper, faster, and more competitive.

Core Responsibilities

Bid Ownership

  • Take full control of the end-to-end bid process — from opportunity identification through to submission.

  • Own timelines, task allocation, and compliance — no excuses, no missed deadlines.

  • Translate complex tender documents into clear, compelling, and compliant submissions.

  • Work with sales and subject experts to build win strategies that differentiate FlamePro.

Process & System Development

  • Build and embed a bidding system that connects Sales, Product, Finance, and Quality teams.

  • Introduce tools and templates to bring consistency and speed across Fire and Defence divisions.

  • Implement AI and automation (e.g., for document control, formatting, response libraries) to free up human focus for winning content.

  • Drive continuous improvement — tighter briefs, cleaner inputs, stronger outputs.

Strategy & Win Focus

  • Work alongside sale teams to manage the project pipeline and agree win-themes for each tender

  • Shape winning narratives that reflect FlamePro's value proposition around world beating products, delivered on time, with no headaches

  • Ensure proposals clearly highlight FlamePro's competitive edge — innovation, delivery reliability, and agility.

  • Analyse past tenders and debriefs to identify where and how we can improve win rates.

Global Collaboration

  • Coordinate with international bid partners and translators to deliver multilingual submissions where required.

  • Build a network of freelance or agency bid writers for specialist tenders in non-English markets.

  • Maintain oversight of international timelines, formats, and compliance standards.

Contract Mobilisation

  • Support smooth handover to operations and account management post-award.

  • Work closely with the Supply Chain and Customer Service teams to ensure delivery plans align with commitments.

  • Track live bid pipeline and performance metrics through a clear reporting system.

Qualifications & Experience

  • Proven experience managing bids and tenders (public or private sector).

  • Strong commercial understanding and ability to interpret complex RFPs.

  • Excellent written English — concise, persuasive, and structured.

  • Comfortable with AI, automation, and data tools to speed up bid writing and tracking.

  • Familiarity with MOD, Emergency Services, NSPA procurement is a bonus.

  • Organised, proactive, and results-focused. You'll need pace, not patience.

Pay: £50,000.00-£70,000.00 per year
