Role Summary
The Collaborative Teaching Laboratory (CTL) represents a £42m investment in STEM teaching. The CTL provides primarily undergraduate students with a transformational teaching experience in a state-of-the-art facility to encourage and enable inter-disciplinary working.
The Building Services Coordinator will have day-to-day responsibility and oversight of the CTL 's buildings. The post-holder will liaise with the central University Estates Office and Campus Services, including Security, Hospitality and Accommodation Services, Portering and Cleaning Services, IT Services and other areas of the university as appropriate to assist in the completion of their duties. They will also be the central point of contact for all external contractors working within the building, and responsible for organising and managing maintenance and service contracts.
The CTL Building Services Coordinator will work in conjunction with the CTL 's Operations team and Head of Operations in providing skills, knowledge and expertise to ensure the CTL 's teaching is delivered effectively and efficiently.
Main Duties
Building Management:
- To have overall responsibility for the day-to-day management of the CTL 's buildings. To have detailed knowledge of the infrastructure of the buildings, services, plant, equipment etc.
- To act as the CTL point of contact for building related queries for all CTL managed areas.
- To act as the main CTL representative and contact for minor works and general maintenance. Where appropriate, coordinate work schedules against CTL priorities, organise relocation of staff and equipment during maintenance work to ensure minimal disruption to CTL business.
- To coordinate the development and delivery of minor work projects for the CTL. Working with academic colleagues, Estates, Operations team and Head of Operations, in addition to external contractors to ensure the project brief and the standard of work meets CTL requirements.
- To manage the reporting and resolution of building faults for the CTL areas. As and when required, to liaise and work with colleagues from Estates, the wider University and external contractors to resolve in a timely manner.
- To work with CTL team, College Head of Infrastructure and Facilities, and Estates in order to meet sustainability targets set for the CTL 's buildings and to promote, review and, where possible improve, energy-saving. This includes being the CTL's representative on College/University sustainability groups.
- To support the operational management of CTL initiatives (such as staff relocations, decanting space for refurbishment projects, setting up CTL facilities), interpreting CTL strategies into work priorities and planning / organising staff resources in the operations team to successfully deliver initiatives.
- To attend and feedback from CTL Estates Facilities Contact group meetings, responding appropriately to actions where necessary.
- To support in the coordination of access control measures to the CTL manages areas. Manage CTL security arrangements and ensure compliance with CTL/ University policies. Day to day activities would include liaising with staff and students to manage their swipe card access, issue keys etc.
- To act as the CTL contact for the Managed Print Service, reporting faults, conducting minor maintenance, reviewing locations, requesting device moves and additional devices.
- To keep the building, and health and safety sections of the CTL intranet accurate and up to date.
- To monitor the general housekeeping of the building(s) and ensure that all areas are tidy and compliant with fire risk assessment recommendations and relevant health and safety regulations.
- Manage non-teaching activities booking requests such as Outreach, Student recruitment events.
- Assist and support with CTL procurement including deliveries and finance housekeeping.
- To work collaboratively with the Head of Operations, and wider technical staff, in ensuring that University Health & Safety procedures and training are in place for staff and students.
- To ensure robust systems are in place for the investigation of all reported accidents, incidents and near misses in collaboration with the CTL Health and Safety Coordinator. To ensure all reports are logged with the CTL tracker.
- To acts as first aid and fire safety co-ordinator, to ensure that there is an appropriate number of individuals trained in First Aid and as Fire Wardens, to provide adequate cover for all geographical locations of the CTL, maintain and update fire contingency packs and fire safety logbook.
- To ensure H&S compliance of contractors and other non-University on-site workers.
- To work collaboratively with the Head of Operations, to ensure equipment compliance testing is carried out (ladder inspections, pressure systems, LEVs).
- To provide support for the CTL Health and Safety Committee, including booking an appropriate venue, drafting and distributing agendas, collating required papers and producing accurate minutes and actions.
- To manage, plan and review the utilisation of space within the CTL's buildings, ensuring compliance with the University's Space Allocation Policy.
- To act as the main point of contact in relation to space requests made by the CTL, which includes reviewing requests and consultation with other relevant post-holders (both academic and professional services) where required.
- To work in conjunction with the Head of Operations on any projects which require alterations to technical spaces in the buildings.
- To review and complete the University's annual Space Return for the CTL's buildings, ensuring the information is kept up to date. The post- holder will liaise with estates planning partners as required on this activity.
- Managing the inventory/asset register and disposal record system in conjunction with the accounts office, ensuring that both are accurate and up to date.
- Undertake any other tasks across the CTL or College that might reasonably be asked by the Head of Operations or College Head of Infrastructure and Facilities and are suitable by way of knowledge or experience or can be achieved by a reasonable programme of training.
- Educated to at least Advanced Level (or equivalent qualifications and work experience) and hold at least a GCSE in Mathematics and English at C or above (or equivalent).
- Knowledge and understanding of Health and Safety regulations and their implementation.
- Experience of managing buildings, working in an Estates environment, staff and operations.
- Strong customer service skills and ethos.
- Excellent communication skills, both written and oral, communicating with and engaging staff at all levels in the organisation.
- Ability to negotiate, mediate and deal effectively with sensitive or difficult issues.
- Experience of working collaboratively as part of a wider team to deliver operational or strategic goals.
- Ability to devise solutions and develop creative approaches to problem solving.
- Ability to analyse and deal with problems with an appreciation of longer-term implications and taking account of all stakeholders.
- Ability to manage a broad ranging workload with challenging and competing deadlines and to deliver to agreed timescales.
