London, Greater London, United Kingdom Care ADHD Full time

Join Us at The Centre for ADHD Research and Excellence: Shaping the Future of Accessible Healthcare
At CARE ADHD, we're revolutionising private healthcare by making ADHD assessments and treatment more affordable and accessible to those who need it. Our client-centred approach, combined with lean methodology and a focus on continuous improvement, drives our commitment to excellence. We embrace an innovative mindset, encouraging rapid learning and adaptation through our 'fail fast' ethos. With ambitious plans to become the largest ADHD service provider outside the NHS within the next five years, we are committed to pushing boundaries and fostering innovation.

Why Work With Us?
We're on the lookout for a people-first, detail-oriented Associate Experience Coordinator to be a key support to our associate clinicians. If you enjoy creating positive experiences, solving problems, and making processes smoother, this could be the role for you

Our associate clinicians are the heart of what we do. They deliver life-changing services to our clients every single day, and their work directly impacts the wellbeing and success of the people we serve. Because of this, creating a positive, supportive, and engaging experience for them isn't just a "nice to have" – it's essential to our mission.

Supporting the Head of People, you'll be the friendly face and trusted advisor for our clinicians – making sure they have what they need to thrive, feel connected to our culture, and stay fully supported in their day-to-day work. You'll be there to celebrate their wins, help solve challenges, and ensure they feel valued as vital contributors to our success.

You'll also play a big part behind the scenes, helping to keep things running smoothly, from onboarding and engagement initiatives to compliance and process improvements. Your work will make a real difference – supporting clinicians so they can focus on what they do best: providing outstanding care to our clients.

What You'll Be Doing

  • Be the go-to person for associates, answering their questions and making sure they have everything they need to thrive at work. Whether it's explaining policies or just being a friendly presence, you'll help create a workplace where people feel valued
  • Collaborate with Talent Acquisition to make sure new clinicians have a smooth journey from offer to onboarding and beyond.
  • Help associates navigate challenges and resolve concerns in a way that's fair, thoughtful, and aligned with our values.
  • Assist in delivering smooth and engaging onboarding experiences at our in person events, that make clinicians feel welcome and ready to hit the ground running.
  • Run quarterly recertification checks, follow up on missing information and maintain accurate associate records and data across our People systems to remain audit-ready
  • Support associate retention efforts by proactively identifying engagement challenges, fostering strong relationships, and implementing initiatives that encourage clinicians to continue working with us.
  • Support Associates in maintaining high standards of client documentation, ensuring consistency, clarity, and compliance with internal expectations.
  • Support the Head of People in bringing new ideas to life – whether it's rolling out new processes or launching engagement projects.
  • Keep our associate handbooks and procedures fresh and user-friendly.
  • Help rollout engagement surveys and track trends, helping us find new ways to make the associate experience even better.
  • Work closely with clinicians to increase their engagement and availability, supporting them in taking on additional clinics and ensuring they feel valued and motivated to contribute more.

What We're Looking For
To thrive in this role, you'll need:

  • People-Focused Experience – 2+ years working in a People/Patient/Cistomer support role, ideally in a high-growth start-up, and understand what it takes to build an engaging and supportive workplace
  • Prioritisation is your middle name. You can handle shifting priorities and wear multiple hats.
  • You're solutions focused and comfortable navigating change and always bring structure and clarity to fast-moving situations.
  • An understanding of UK employment laws and best practices. Particularly in regards to IR35 regulation
  • You're a natural communicator and know how to connect with people at all levels, whether it's through a friendly chat, clear policies, or inspiring company-wide updates
  • You're a culture champion and love bringing teams together, finding ways to make work more meaningful, and creating initiatives that make people feel valued
  • You genuinely care about people and are passionate about building a workplace where everyone feels supported, included, and able to do their best work.

Bonus (Not Essential)

  • Experience building engagement, particularly in a remote environment.
  • Proficiency using other SaaS tools like Slack, Front, Notion and Airtable.
  • Experience working with Clinicians

What You Can Expect From Us

  • Competitive salary of £28k-£33k, depending on experience
  • This role is Hybrid (minimum 3 days per week) based in our Canary Wharf Office.
  • 25 days holiday (not including UK public holidays)
  • A paid day off on your birthday
  • Company Laptop
  • EAP Support
  • £500 towards setting up your home Office
  • Pension contribution
  • Be part of one of the UK's most ambitious HealthCare start-ups
