The Role Reporting into the Studio Producer, the focus of this role is to support the Production team and wider studio team with all production admin and on set shoot assistance. This role is for someone that is flexible with a can‑do attitude. It would suit someone that likes to be busy as there will always be something to do in this role. You are going to need to have excellent admin skills as well as be comfortable on a busy photo studio set. Ideally you will have previous experience as a runner or studio assistant in a photo studio. Please note this role is fully based in the studio 5 days a week due to the nature of the role. Assist the Studio Producer with scheduling, including sending call sheets, chasing, plotting and confirming freelance options. Cover the Studio Producer role when required. Ensure H&M references are included as informed by the H&M team or seniors. Maintain studio workflow management system, weekly plotting of teams and models. Update schedules for advance planning or last‑minute sickness. Perform studio team check‑ins to ensure teams have everything needed for the day/week. Pre‑empty studio orders such as consumables and H&M kits. Communicate lateness and plans to Studio Producer and teams. Inform building‑wide updates to keep all teams informed. Welcome models and freelancers, ensuring they have everything needed during the shoot. Report studio team, freelance and model arrival times; notify delays to the Shoot Producer. Act as the point of contact for model agencies and freelancers regarding queries and invoicing. Build relationships with on‑set shoot teams and provide support where needed. Add all freelancers and models into Bluepoint ahead of shoot days. Support the Senior Casting Manager and studio assistant on studio casting, model invoicing and 915 kids shoots prep. Cover sickness for the Stylist Assistant role when needed. Assist with day‑to‑day studio support including steaming product and keeping the styling wardrobe tidy. Provide adhoc morning studio support such as steaming on set, general set‑ups and runner activities (snacks/lunches, last‑minute purchases). Ensure prop storage and general studio areas are well organised and tidy. Complete required studio orders (props, stationery, kit orders). Support studio management on adhoc tasks outside of normal business‑as‑usual. Photography & Equipment Support Send out weekly painting requests. Check with photographers if additional painting is needed. Communicate studio cleaning and moving equipment to prepare sets for external contractors. Support photography managers with equipment maintenance and admin, including kit rentals and repairs. Assist the onset photography team with studio set‑ups and take‑downs. Manage off‑payroll admin, track trials and ensure purchase orders are raised in time for approval. Set up supplies and gather required paperwork, follow up as necessary and communicate updates to the Studio Producer. Maintain contracts and insurance policies organised for purchase order process. Process and send invoices for approval and keep a record of all costs. Maintain the budget tracker with accurate calculations and data entry. Track studio invoices and flag any build‑up to manage workload weekly. Attend weekly/monthly budget meetings to ensure cross‑charges and costing are within budget and flag areas of concern. Manage production accounts and expenses, including credit card spends. Set up new vendors and manage form or legal requirements. Suggest improvements to increase accuracy, efficiency and cost reduction. Who you are Confident communicator – friendly and approachable Happy to take on any task Experience creating presentations – PowerPoint, Keynote, InDesign Has experience in a studio or similar environment Fast learner Experience communicating with external parties Excellent time‑keeping and ability to meet strict deadlines Ability to stay calm under pressure Highly organised and a self‑starter Willingness to demonstrate initiative PC literate with Excel, Word and PowerPoint Previous experience in a similar role – photography studio Interest in social media – Tik Tok and Instagram – and can showcase Studio work professionally Why New Look?
