As a Student Administrator you will provide vital administrative support across a range of activities, including managing the assessment and examination processes right through to awards and graduation, as well as support for key University activities such as registration and enrolment. You’ll also contribute to the delivery of services in the Hub, dealing with student queries efficiently and professionally, and helping to ensure that every student receives clear, timely, and friendly support. We’re looking for someone who has excellent organisational skills and attention to detail, enjoys working as part of a team providing high‑quality customer service, is comfortable handling routine administrative tasks and managing competing priorities, and can communicate clearly and effectively with a wide range of people. Previous experience of dealing with queries and providing information to students and academic staff is essential. Candidates should be educated to 2 AS Levels or 1 A Level or NVQ level 3 in a relevant subject area (e.g. Customer Service or Business Administration) or possess equivalent experience. The successful candidate will be expected to commence in February 2026. The ability to communicate in Welsh is desirable for this post. Overview The Directorate of Student and Academic Services brings together key professional services that support the student journey and enhance the academic experience at Bangor University. The Directorate comprises three main areas: Registry, Student Life and Campus Services. Registry oversees student administration and business support, leads on quality assurance, academic enhancement and curriculum management. Student Life encompasses a wide range of student‑facing services such as wellbeing, library collections, residential life, student success and the student experience team. Campus Services is responsible for the University’s day‑to‑day operational environment, including facilities, catering, sport, the nursery and the security and response team. Purpose of the Job Student Administrators deliver high‑quality administrative support across the student lifecycle, working partly from a new Hub to provide a first‑class service that supports an excellent student experience. The postholder will handle student records, registrations, enrolments, withdrawals, assessment data, coursework and examinations, timetables, graduation schedules, award and transcript production and report preparation for exam boards and special circumstances panels. The role involves responding to in‑person, Microsoft Teams and Request Centre queries, ensuring accurate information is provided and processes are completed efficiently. Main Duties and Responsibilities Specific Duties of the Role Support the administration of programmes across the Institution, including pre‑registration, student records maintenance, Blackboard queries, module evaluations, online enrolment, PGR annual review, suspensions, withdrawals, induction of new students and thesis submission. Administer all submitted coursework – follow up on non‑submission and collate files for external examiner review. Administer examinations – prepare exam papers, liaise with external examiners, enter marks, manage viva process, arrange exam adjustments, produce exam board and special circumstances reports. Liaise with academic staff and the timetable unit to enable coherent teaching timetables. Liaise with staff for exam timetables and graduation schedules. Participate in a rotating hub staff schedule delivering a bilingual service. Perform any other duties appropriate to the grade, as directed by line management. Duties Common Across Grade 5 Roles in the Directorate Coordinate and manage meetings, events and schedules to support team objectives and student needs. Provide front‑line support to students, staff and external stakeholders, handling inquiries and directing them to appropriate services, ensuring a high standard of customer service. Assist in producing clear, accessible written communication materials, including emails and student resources. Collect, input and maintain accurate records on student information systems, ensuring data integrity and compliance with university policies. Compile, monitor and report on data to support evidence‑based decision‑making. Resolve inconsistencies or errors in data and safeguard confidential information. Address routine problems promptly and provide advice to students and staff in line with established procedures. Escalate complex issues or potential risks to senior colleagues, ensuring timely follow‑up and resolution. Collaborate with colleagues across teams and departments to support joined‑up service delivery and facilitate new system implementation. Support university‑wide events such as open days and graduation ceremonies. Communicate clearly and effectively with internal and external stakeholders, facilitating seamless operations. Participate in audits, reviews and other compliance activities, maintaining proper documentation. Person Specification Essential Qualifications: 2 AS Levels or 1 A Level or NVQ level 3 in a relevant subject area (e.g. Customer Service or Business Administration) or equivalent experience. Experience: previous experience of dealing with queries and providing information to students and academic staff. Understanding of equality, data protection and freedom of information legislation. Experience in an office/administrative environment and decision‑making based on relevant information. Experience developing and implementing administrative systems and procedures. Experience managing student data or similar large data sets. Skills: ability to provide appropriate advice confidently and confidentially. Proficient in Microsoft Office (Word, Excel, Access, etc.). Understanding of and ability to explain terms used in own area of work. Recognises limits of own responsibility or ability and accepts feedback positively. Complies with health and safety policies and procedures. Desirable ECDL Qualification. NVQ level 4 in a relevant subject area. Understanding of internal and external factors impacting the service, culturally diverse needs and academic regulations. Proficient in University systems (e.g., Banner, MyBangor, BI).
