THE ROLE Are you a proactive problem‑solver with a knack for supporting with complex operations and fostering vibrant communities The Global Office Operations & Community Executive plays a pivotal role in ensuring our business runs smoothly and efficiently on a global scale. Based in the UK this role combines operational excellence with global remote support creating a seamless platform for success. Your key duties will include : Global Office Management Office Management : Supporting all aspects of day-to-day office operations including facilities management supplier relationships stationery and consumables general maintenance IT infrastructure telecoms refreshments equipment post and courier services. Health & Safety Compliance : Assisting with health and safety implementation and assessments Executive Support : Provide high-level Executive Assistant support to the global senior team when needed. Front of House : Deliver a professional and welcoming experience for visitors both face-to-face and via phone ensuring a positive first impression. Meeting & Event Coordination : Coordinating meeting room preparation and availability for both internal and external events. Travel Management : Arranging travel booking and logistical requirements. Finance Administration : Assisting with finance processes including invoicing and reconciliation. Supplier Management : Maintaining communication with suppliers and service providers. Office Moves : Supporting office moves and refurbishments. Problem Solving & Process Improvement : Proactively identify and address potential operational challenges suggesting improvements to ensure efficient delivery. Ad-Hoc Support : Take on additional tasks and responsibilities as reasonably required by the business. Community Management Onboarding & Offboarding : Assist with HR processes Onboarding : Support the employee onboarding process ensuring new team members have a seamless start including kit allocation system setup training coordination and introducing them to the company culture. Offboarding : Coordinate the offboarding process with care and professionalism including collecting company assets revoking access and ensuring a positive departure experience. Employee Journey : Contribute to the full employee lifecycle by maintaining touchpoints that enhance engagement productivity and satisfaction throughout their tenure. Training & Development : Coordinate and deliver training and development activities as identified. Culture & Engagement : Support the delivery of the companys social programme helping drive employee engagement and foster a positive inclusive workplace culture. Strategic Awareness : Maintain an understanding of the internal and external factors impacting the business contributing valuable insights. Team Development : Foster a collaborative and nurturing work environment supporting team members in achieving their full personal and professional potential. By effectively supporting with these responsibilities you will ensure smooth operations support the operations team on key projects provide essential cover when needed and maintain compliance. You will also focus on tracking and measurement to provide data‑driven insights that inform decisions and drive continuous improvements across the business. REQUIREMENTS & SKILLS 1-2 years experience in a commercially focused customer service role preferably within an agency Pro‑active growth mindset capable of foreseeing issues and dealing with resolution without significant management supervision Well‑developed interpersonal skills and experience in interacting and building trusted relationships with stakeholders at all levels. A first‑class listener and communicator with a willingness to confront issues and make decisions. Commercially savvy approach with a demonstrable financial and problem solving acumen. Strong project management skills with dedication to timelines Numerate with some exposure to financial systems and processes Honed project management skills including time management and a high attention to detail. Excellent communication negotiation and presenting skills. Ability to work as a team with senior stakeholders The ability to work independently with a pro‑active attitude SALARY AND BENEFITS This role offers a salary between 28000 - 30000 depending on experience. We are looking for someone to start as soon as possible. This role is a full time permanent position and works within our current hybrid working structure where you will be expected to work within our office in London at a minimum 4 days per week.
