Job Summary 37.5 hours per week. One WTE position available; full and part‑time applications considered. We are looking for a dedicated administrator to support our Community Frailty Virtual Ward project, covering two or more of the six virtual wards. The role involves day‑to‑day administrative support, line management opportunities, and liaison with clinicians, patients and families. Job Details Band: 3Salary: £24,937 to £26,598 per year, pro‑rataContract: PermanentWorking pattern: Full‑time, Part‑time, Job share, Flexible workingLocation: 200 Mount Gould Road, Mount Gould, Plymouth, Devon, PL4 7PY Main Responsibilities Provide comprehensive administrative support to the multifaceted virtual ward team. Manage telephones, email inbox, meet scheduling, meetings minutes, and general office administration. Operate SystmOne and Oracle systems, ensuring accurate data entry and record keeping. Support liaison between clinicians, patients, and family/carers. Handle confidential reports/letters, databank entry, and reception duties. Supervise and provide line management for junior staff, including performance and absence management. Monitor stock, manage invoices, and support banking and remittance services. Produce informal and formal minutes, maintain electronic/hard copy information, and collate data for budget monitoring. Respond to telephone, e‑mail, and written queries; arrange appointments, meetings, and events. Ensure compliance with data protection, safeguarding, and record‑keeping policies. Contribute ideas for service improvement and undertake audits or surveys as directed. Person Specification Qualifications (Essential) NVQ Level 3 in a relevant subject or equivalent qualifications/experience. Qualifications (Desirable) NVQ 3 in Business Administration or equivalent. Skills & Abilities (Essential) Excellent writing, typing, and data entry skills. Strong verbal and written communication, face‑to‑face and telephone. Ability to prioritise own workload and work effectively as part of a team. Initiative, organisational efficiency, and flexibility. Analytical problem‑solving and customer support skills. Skills & Abilities (Desirable) Experience supervising staff. Experience with SystmOne and knowledge of healthcare booking systems. Knowledge (Essential) Working knowledge of Microsoft Office (Word and Excel). Understanding of the Data Protection Act and confidentiality. Ability to build effective working relationships with customers and colleagues. Knowledge (Desirable) Knowledge of SystmOne. Understanding of Data Protection legislation. Understanding of national healthcare requirements. Experience (Essential) Substantial experience as a Band 3 administrator within a health or social care environment. Experience (Desirable) Experience supervising other staff members.
