Sitting within Social Security Scotland’s Finance and Corporate Services division, the Procurement & Commercial Team manages the organisation’s purchasing needs ensuring all Social Security Scotland procurement activities and commercial relationships are focused on achieving best value for money whilst giving consideration to sustainable development and social value issues. As our Business Support Officer you’ll be at the heart of our team providing comprehensive support primarily to our Head of Procurement & and Deputies. You will be responsible for prioritising and organising all communication flows between our Senior Leaders and wider stakeholders ensuring everything runs smoothly and in line with agreed governance and business processes. Responsibilities Support Head of Procurement & Commercial and Deputies in the delivery of their work by the strategic management of their diary, mailbox, briefing correspondence, engagements and travel arrangements. Any other ad‑hoc business support projects required by Head of Procurement & Commercial and their Deputies. Provide secretariat services at fortnightly C‑Band meetings, quarterly Team meetings and additional ad‑hoc meetings as required: scheduling agenda items, taking notes and follow‑up on actions. Provide administrative assistance at weekly Request for Procurement Assistance (RPA) triage calls. Assist with developing and maintaining robust and efficient business processes and governance arrangements including ensuring relevant documentation is consistent, up‑to‑date and fit for purpose. Provide IMSO support. Provide cover for Procurement Mailbox and ePC reporting. Technical / Professional Skills You will demonstrate the following skills within the ODP Competency Framework – Core ODP Skills – Operational Delivery Profession. Data and Insight – Awareness Aware of organisational and legal protocols for managing information: Data Protection Act, Declaration of Confidentiality, Official Secrets Act, Freedom of Information Act, Electronic Media Policy. Aware of procedures for managing customer information and data – including how to collect, retrieve, supply, retain, record and dispose. Identify the actions to take if gaps, errors or irregularities in information and data management occur.
