We’re looking for a Venue Sales Associate on a 6‑month Fixed Term Contract to sell the Venue Hire spaces at Conway Hall. The role involves answering enquiries, negotiating and agreeing bookings with hirers, ensuring regulatory compliance, and maintaining financial records. The Venue Sales Associate is a crucial part of the Commercial team and reports to the Head of Commercial. Our Mission is to curate, support and facilitate people and ideas that make ethics matter in the world. Key tasks Manage all enquiries from potential hirers via email, telephone, and hire agencies, providing all required information. Conduct site visits and upsell where appropriate. Work closely with the Senior Commercial Manager to manage the flow of enquiries and other decision‑making processes involving clients, administration, and relevant departments. Use Rendezvous, the room booking system, ensuring accurate data entry for Finance, Operations, and Marketing. Issue the Venue Hire Agreement and complete all admin tasks before handing over to the Event Coordination Manager. Ensure hirers comply with all legal, licensing, local authority, risk assessment, and performing rights regulations and are informed of Conway Hall’s Terms and Conditions for Hire. Coordinate with local authorities and others to prevent any event violations. Take a holistic approach to each hire so that no event negatively impacts another or our organisational capacity. Collaborate with the Event Coordination Manager and Visitor Experience Manager on risk assessments and event logistics (e.g., get‑in/out timings). Upsell services and liaise with commercial partners and external suppliers (AV, catering, furniture, etc.) and ensure their delivery. Raise invoices, provide receipts, and record information for all hires; ensure timely communication of income to Finance. Handle cash and income in line with Conway Hall’s cash‑handling procedures. Collaborate with the Head of Commercial and other departments to inform the development and marketing of the Venue Hire offer. Follow all procedures when accepting client bookings to safeguard the brand and reputation. Meet target numbers of completed enquiries set by the Senior Venue Hire Manager and/or Head of Commercial. Comply with Conway Hall’s policies (health & safety, equal opportunities, etc.). Support the measurement and evaluation of the Society’s charitable work. Engage in fundraising culture across Conway Hall’s activities and staff. Attend meetings and events, including staff meetings. Participate actively in the life of the Society and venue. Undertake training as required. Accept any other reasonable duties as required by the Head of Commercial. Person Specification Essential Criteria: Experience of customer care, client liaison, and events management. Experience of venue hire sales in a similar venue. Experience working with a booking system such as Rendezvous. Experience managing communications through a variety of digital platforms. Excellent attention to detail and administrative skills. Outstanding interpersonal and communication skills. Ability to work on own initiative and collaboratively. Good time management and ability to manage multiple priorities. Excellent IT skills and experience. Desirable experience/skills: Working knowledge of health and safety. Knowledge of one or more subject matters in the Society’s field of interest. Terms Contract Length: 6‑month Fixed Term Salary: £29,700 per annum Hours: 37.5 hours per week (7.5 hours a day across office hours) Working pattern: Onsite/hybrid – terms to be discussed Holiday entitlement: Pro‑rata 24 days per annum, plus one week over the Christmas holiday period (all based on 37.5 hours per week) Probation: One month Pension: Optional stakeholder pension scheme; employee contributes 3%, matched by 5% from the employer.
