Senior EIA Project and Bid AdministratorSenior EIA Project and Bid Administrator Bristol, Manchester, Glasgow or EdinburghAbout the role:LUC is seeking an enthusiastic and ambitious Senior EIA Project and Bid Administrator to support our Environmental Impact Assessment (EIA) team in either Bristol, Manchester, Glasgow or Edinburgh.The role will be to provide dedicated support to our national EIA team on the administration of project-based activities and leading the coordination of multi‑disciplinary bids.The Senior Project and Bids Administrator will carry out a wide variety of tasks which could include:Leading the coordination of bidding processes, from the receipt of invitations to tender through to final submission.Bringing together non‑technical and technical elements of bids from internal and external members of the team and liaising with the wider LUC Support Team to put bids together. This may include: preparing proposal templates; gathering and authoring corporate information and experience sections; compiling team CVs; gathering clarifications; packaging of final submissions; managing the bid preparation programme; ensuring specific forms and requirements have been completed.Sub‑consultant contract administration which may involve drafting sub‑consultant agreements (from templates), issuing them and managing their return.Setting up projects on the Project Information System (in conjunction with Finance colleagues).Providing support to the Project Manager/Project Director with financial management activities (also working with Finance colleagues) to advance project management tasks such as invoicing and forecasting, using CMAP.Setting up and managing project administration activities on SharePoint and CMAP, for sharing documents externally, including standard project folders and project start up documentation.Ensuring appropriate document management processes are being followed in accordance with Quality Assurance procedures.Undertaking consistency checks of draft documents, figures and technical appendices and ensuring team members have provided all relevant documents for review.Providing support in preparation, tracking, and compilation of technical appendices.Drafting Health and Safety Risk Assessments for off‑site working and ensuring agreed processes are being followed.Support in format checking and finalising EIA Reports/ Environmental Statements.The role includes the opportunity to share and participate actively in the management and ownership of the business through the Employee Ownership Trust, which places full ownership of the company with the employees.The role is based in LUC’s offices in Bristol, Manchester, Glasgow or Edinburgh. We work in a hybrid model with people being in the office a minimum of two days per week. There may also be travel required to visit sites, client offices and other office locations.A full-time role is based on 37.5 hours per week (Monday to Friday). However, LUC has a strong track record in flexible working, and we have been recognised for our flexible working culture, so we are happy to discuss a range of flexible working options for this role including part time hours (minimum 30 hours per week) if desired.Experience and qualificationsIf you have the following qualifications, skills and experience we would like to hear from you:Proficiency in MS Word, Excel, Outlook, PowerPoint, Teams and Project is essential.Experience of using Adobe, Intranet, and document management systems including Sharepoint.You must have prior experience at a senior level in a project administration and bids coordination role, where you have used general administrative skills and have a good eye for detail, as well as excellent communication and organisational capabilities.You must be flexible, able to prioritise independently, manage multiple demands and work to tight deadlines, as these are key aspects of the role. The right person will meet these challenges with a helpful and positive attitude.
