Job summary: An exciting opportunity has arisen at Moorfields Brent Cross – North Division for an Assistant Clinic Manager. The post is a fixed-term secondment to cover the current staff until July 2026. The role requires an experienced team leader/clinic manager to work within a busy multidisciplinary team, overseeing the unique site at Brent Cross and providing operational leadership on site. Main duties Manage a professional, comprehensive and efficient reception and administration service. Support the outpatient clinics and admissions team across relevant departments. Ensure that an efficient and caring service is provided to all patients within the relevant clinics/services. Promote a positive image of the Trust’s outpatient and admissions services through excellent customer service to patients, relatives/carers and external stakeholders. Ensure high standards of data entry and quality across all services in both paper and electronic record-keeping. Maintain adherence to the Trust’s Access Policy at all times. Ensure day-to-day operational management of the site, including line‑management of satellite administrative teams. Work effectively and proactively with off‑site teams, liaising with senior management, clinicians, patients and external stakeholders. Achieve and monitor the RTT performance target for both admitted and non‑admitted pathways, applying prior RTT experience. Job responsibilities Work with assistant clinic managers, outpatient supervisors and clinic managers to ensure smooth daily operations of outpatient clinics. Daily monitoring of clinic profiles, taking action on over‑booked clinics and ensuring appropriate staffing. Send weekly clinic profiles to consultants and enforce any necessary adjustments. Attend weekly outpatient meetings with the Clinic Manager and Booking Centre, ensuring clinic profile information is available. Ensure new appointments are booked within the appropriate timescale to meet RTT and Cancer Waiting Time standards. Liaise with the contact centre to ensure patient queries are responded to within agreed KPIs. Ensure follow‑up appointments are booked promptly, typically on the day of attendance. Collect and input ethnic coding and up‑to‑date patient demographic details into PAS on the day of patient attendance. Act as the first line of investigation for complaints relating to A&C staff and administrative systems, forwarding responses to the Clinic Manager. Receive annual leave requests from clinicians and disseminate information appropriately. Ensure all clinics are cashed up daily for billing purposes. Ensure A&C staff comply with health records management requirements. Coordinate transport and interpreting services with outpatient co‑ordinators, communicating specific requirements promptly. Person specification Education / Qualifications (Essential) Degree or equivalent experience. Good general education including English and maths GCSE A‑C or equivalent. Desirable Evidence of continuing education and professional development. Experience (Essential) Substantial experience working in a healthcare environment. Recent experience working in an outpatient environment in an acute setting. Experience managing a team and effective staff management. Extensive knowledge of healthcare appointment functions. Experience working in a multi‑disciplinary team. Knowledge (Essential) Extensive working knowledge of national/NHS guidance regarding patient access and RTT waiting time targets. Knowledge and understanding of confidentiality issues. Desirable Knowledge and experience using hospital IT systems. Skills / Abilities (Essential) Excellent oral and written communication and interpersonal skills. Ability to successfully manage a team in a multi‑disciplinary service.
