Our goal is to foster a workplace where diverse talents thrive.Team Administrator - Pensions SolutionsLocation: LondonEmployment Type: Permanent, Full TimeGrade: Senior AssociateHybridAbout The RoleWe are seeking a Team Administrator who will provide operational support to the five teams within the Pensions Solutions Group, working closely with the Pensions Solutions Lead and Head of Pensions Solutions.The Pensions Solutions Group exists to ensure that XPS stays at the forefront of market and legislative developments and proactively helps clients respond to these. The group focusses on producing market-leading solutions to meet the emerging issues, and associated client and prospect needs.Key ResponsibilitiesScheduling and running monthly meetings of the Solutions Team Leads intended to review the workings of the group and to help set future strategic aims.Undertake monthly reviews of time recorded by each team and track against agreed budgets and assist with reporting this to the business.Assist with annual review of teams’ strategies to set plans and budgets for the next year.Becoming an expert in SharePoint to assist in the maintenance, review and future development of the Pensions Solutions Group intranet site(s).Collating weekly news items and circulating to the Pensions business every Monday.Providing ongoing advice and training to colleagues in the respective teams to facilitate them managing some of the day-to-day tasks on the intranet sites.Produce and maintain ‘how to’ guides to support others in using the sites.Conducting regular reviews of the documents and other information stored in lists and libraries on the sites to ensure they are up to date.Measuring and striving to improve colleague’s engagement with the Pensions Solutions Group.Working closely with the XPS marketing team, including:Maintaining internal templates used to first draft marketing materials and liaising with marketing to obtain professionally designed materials.Helping to proof-read, amend and finalise regular client insights and thought leadership pieces.Providing support when running campaigns promoting XPS and our new / developing services, including driving internal engagement to maximise campaign results and assist with subsequent analysis, including use of the XPS CRM system.Ensuring the smooth operation of the teams withing the Pensions Solutions Group, this will include:Helping ensure internal processes are implemented and efficiently followed, for example those relating to monitoring developments in the pensions marketplace within the Market Intelligence Team.Monitoring queries channels within Teams and maintaining the online bank of ‘frequently asked questions’.Review and maintain distribution lists / team members on Teams to aid all communications.Facilitate the promotion of new initiatives and services, both internally and externally, and assist with measuring and reporting on their successes.Running internal surveys to gather client-specific data to support projects on an ad hoc basis.EssentialYour Profile:Ability to manage and deliver in a fast-paced and changing environment.Strong organisational and time management skills.Ability to take ownership and responsibility for own work, working both individually and as part of a small team.Expert in MS Office software (Outlook, Word, Excel, PowerPoint) and ability to manipulate and analyse extensive datasets.Strong oral and written communication skills, including proof-reading.High attention to detail.Collaborative mindset with a proactive approach to problem-solving.Ability to multi-task and juggle several tasks with conflicting deadlines.A self-starter with the confidence to put forward their own ideas and challenge those of others.DesirableExperience of maintaining / developing sites on the MS SharePoint platform, this will feature heavily in the role and role holder will be responsible for its day-to-day management.Previous use of MS Teams and MS Planner to enhance collaboration and workflow.Previous office-based experience gained within a similar support role in the financial services or pensions industry would be advantageous.What We OfferEnjoy a competitive salary, annual discretionary bonus, and 25 days’ holiday with buy/sell flexibility.
