Core duties will include producing documents to a high quality, audio typing and word processing, maintaining efficient filing systems, diary management, dealing with incoming phone enquiries, arranging appointments for community clinics, inputting data on patient database and Insight, helping to process referrals and chase background information.

To be successful you must demonstrate excellent interpersonal, communication & organisational skills as you will be dealing with multi-professional groups & staff, prioritising your own workload working to deadlines with minimum supervision together with a flexible approach to your work and duties. Previous experience of working as a secretarial is essential & any experience of working in a clinical / care giving environment would be an advantage. In addition, you must be able to demonstrate sound understanding of the issues surrounding confidentiality.

If you have GCSE Maths & English Grades A-C or the equivalent, have excellent secretarial skills and are able to demonstrate a high standard of typing / audio typing / word processing, have RSA II Typing / Audio qualification or are able to demonstrate that level of ability we would be pleased to hear from you.

To provide a quality secretarial service to the Personality and Complex Trauma Team based within the Specialist Psychotherapy Service, at St Georges Community Health Centre. To ensure that an efficient patient referral system is maintained and to assist in the developing of the information recorded when appropriate.

- To act as the central point of contact for dealing with patient referrals
- Arrange agenda's for the PCT Team, attend all meetings and take notes, typing up in a timely manner
- To deal with incoming telephone general enquiries and passing this information to relevant members of the team. This will sometimes involve dealing with challenging situations and will involve contact with clients/carers
- To deal with incoming post, checking information received and responding where appropriate
- Diary management, arranging appointments
- The provision of an administration/secretarial service to the team, including typing and word processing of letters, reports, memos, audio transcriptions, photocopying and faxing in a timely and accurate fashion and where required, provide secretary support to the Consultant and his Trainee Medical Staff
- Operation of internal information systems
- Maintain and update existing filing systems
- Assist in providing support and cover for colleagues during annual leave and sickness
- To provide cover, when necessary, in Team Administrator’s absence, this entails some additional duties
- The post holder will be expected to support and adhere to general building protocols in relation to health, safety and security
- This job description may vary from time to time following discussion with post holder the line manager
- To undertake any training relevant to the post
- Awareness of the Trust’s procedures in relation to the office environment e.g. Health and Safety.
