Background My client is steadily expanding and, as is usual for companies of this size, it needs to improve the sophistication and security of its management processes.
Therefore, the agency is seeking to appoint an individual to oversee the operational side of the company's processes and day-to-day systems, primarily from a financial point of view, but also more broadly in terms of general agency management.
Overall objectives and wider perspective It is anticipated that, with the recruitment of the right candidate, the agency's financial performance will accelerate, particular in the context of margin growth.
This in turn will provide funds for further expansion and investment in the company.
As such, the successful candidate will need to display a sound grasp of the fundamental dynamics of company finances.
A further benefit of the successful fulfilment of this brief would be to free-up time for the MD and senior client-facing staff to enhance and expand their commitment to the growth of the client base.
Tasks and responsibilities The successful candidate will liaise closely with internal Accounts and will report directly to the Managing Director and Finance Director.
This person will be expected to bring a fresh eye to the business, and to analyse and feedback on the agency's current management processes.
Examples include the following specific tasks, but this list is not exhaustive: Develop a new, standardised, estimating system to be used by all the account handling team when providing estimates for all client projects.
Liaise with each individual account handler on a frequent basis to forecast billings for every working month and ensure that invoices are dispatched immediately after project completion.
To cross check every invoice with the associated estimate and/or purchase order and interrogate any discrepancies.
To work closely with internal Accounts to provide fortnightly reports to the Managing Director.
To assist the Managing Director with the installation and uptake of a new time sheet system across all company staff and to cross check the information it reveals with ongoing project estimates in order to ensure that hours are adequately captured and billed.
To assist the Managing Director in certain high-level, but time-consuming managerial tasks, such as updates to the agency rate-card, oversight of client contracts, and various internal processes.
Qualifications and experience The successful candidate will ideally have fulfilled a similar function in an advertising agency or other service company.
Formal financial/accountancy qualifications are not essential but would certainly be helpful.
