Job summary The post holder is required to provide comprehensive secretarial, waiting list/diary management and administrative support to the PPHS medical, nursing and therapies team.
The new post holder will communicate appointment and admissions related information to service users.
The post holder will be compliant with the Patient Access Policy and Divisional requirements in terms of outpatient waiting list management.
Main duties of the job Retrieve and type clinic letters through the current Winscribe and Medisec systems.
There is a requirement to exchange verbal and written information with patients, staff requiring tact and diplomacy.
Responsibility for handling telephone and other communications with sensitivity and confidentiality using personal judgement to assess each situation and to deal with accordingly.
Co-ordinating and booking of inpatient and outpatient appointments and handling referrals from Primary Care Services, and other external services.
Understanding and application of the RTT policy.
Working closely alongside the Pelvic Health Leads and Consultant body to ensure a smooth running of the service.
The post holder may be exposed to internal and external post and medical records.
The post holder will be required to follow secretarial/administrative procedures and may comment on proposals and implement administrative policies within their area of work.
The post holder will be responsible for demonstrating duties to new starters if required.
The post holder will be required to attend HR training if required.
The post holder is required to manage their own work load and use initiative and act independently.
The post holder is accountable for their own actions, however the manager is available for reference as and when required.
The post holder may be required to take informal minutes from meetings which currently take place once a month.

The post holder is required to manage their own work load and use initiative and act independently.
The option of working from home can be considered with some flexibility of hours.
As the Perinatal Pelvic Health Service is a new service the post holder needs to be adaptable to the ongoing development of the Service.
The Service is based at Royal Stoke, but will also provide care from Stafford County Hospital.
Person Specification Good General Education- Including English GCSE Essential Proficient in Microsoft Office Good communication skills Ability to work with confidential information Can act and support effective teamwork Desirable Secretarial Backround Previous experience working within a healthcare environement Ability to travel and work potentially across multiple sites Knowledge of medical terminology Experience working with existing computer systems such as I portal and Medway Proficient in Microsoft Office Essential Has experience using Outlook, Word Desirable RSA 111 word processing or equivalent
