Job summary Provide comprehensive and proactivesecretarial and administrative support to the Doctors and other members of thePractice team to ensure all correspondence and referrals are prioritised and madein a timely manner according to practice protocols.
Main duties of the job Duties can include, but are notlimited to, the processing of information (electronic and hard copy) in atimely manner, liaising with multidisciplinary team members and externalagencies such as secondary care and community service providers in accordancewith current policies, including the use of the electronic referral service(ERS).

Secretarial Dutiesa.
Typing letters, reports and associateddocumentation as requiredb.
Liaising with external agencies such ashospitals and community services, ensuring referrals are processed efficientlyc.
Managing all enquiries in an effectivemannerd.
Maintaining an accurate referrals databasee.
Maintaining up to date spreadsheet for twoweek wait referralsf.
Actioning all incoming emailg.
Acting on electronic tasks sent by the GPsin a timely mannerh.
Prioritising urgent GP requests/referralsappropriatelyi.
Scanning of patient related documentationand attaching scanned documents to patients healthcare recordsj.
Inputting data into the patients healthcarerecords as necessaryk.
Processing referrals using the electronicreferral system (ERS).
Review the e-Referral work lists and actiontasks accordingly, liaising with patients when necessaryl.
Processing requests for information Insurance/solicitors letters and DVLA formsm.
Clinically coding data on EMIS Web n. Answering incoming phone calls, transferringcalls or dealing with the callers request appropriatelyo.
Managing all administrative queries asnecessaryp.
Carrying out system searches as requestedq.
Maintaining a clean, tidy, effective workingarea at all timesSupporting allclinical staff with general administrative tasks as requested2.
General Administration Maintain an efficientfiling system, effective administrative procedures and carry out generaloffice dutiesCo-operateand participate as required in any audit / research projects within thepractice 3.
Administration & Information Technology Maintain up todate directory of referral addresses and modes of referral Action workflow, emailsand tasks on a daily basis to ensure response times are achieved Report anybreakdowns or IT issues to the relevant nominated individuals within thePractice 4.General Adhere to all practicepolicies, procedures and protocols, ensuring compliance with CQC, Health &Safety, Confidentiality, Data Protection and Employment Legislation Be flexible during sickness/holidays of other team members and providecover as required.
You will be required to complete annualtraining and you may be required to attend external training.
Person Specification Qualifications Essential Educated to GCSE level or equivalent Desirable NVQ Level 2 in Health and Social Care Experience Essential Experience of working as a secretary in a fast paced environment Experience of administrative duties Experience of working with the general public Desirable Experience of working in a healthcare setting as a medical secretary Personal Qualities Essential Polite and confident Flexible and cooperative Motivated Forward thinker High levels of integrity and loyalty Sensitive and empathetic in distressing situations Ability to work under pressure Flexibility to work outside of core office hours Disclosure Barring Service (DBS) check
