My client is a leading global Science and Technology company who is seeking Medical Coordinator to their Medical Affairs team on basis.
Hybrid role - 3 days per week in the office Role Coordinator to work within our UK & Ireland medical team.
The ideal candidate will be well organised, able to manage a large number of projects, knows when to seek support, is a quick learner, and is also able to work both independently and as part of a team.
This role requires the candidate to learn a number of different systems which are used to support functioning across the department.
This role will engage with stakeholders both in and outside of the company and across all the franchises.
Key Responsibilities Support the medical team (head office medical and field based medical) with general administration as well as co-ordination and management of processes and logistics for medical project Ensure all company SOPs and UK regulatory guidelines are followed Ensure smooth cross-functional working with a number of key stakeholders/departments including but not limited to Compliance, Finance, Procurement, Marketing & Legal Master company management systems for approval and documentation: ZINC, Quantum Connect, Ariba, SAP, concur, AdobeSign etc.
Administrative and project support includes: Ensuring that documents which need approval to ensure compliance with ABPI/ IPHA Codes of Practice are managed and progressed through the 'Zinc Maps' approval system in a timely manner Ensuring Medical Meetings Manager is aware of all Medical Events and key dates Processing and documenting sponsorships, grants and donations, and overall management of sponsorship inbox Ensure timely booking of individual travel and accommodation requirements in line with requests from the medical team and external stakeholders, and also in line with company travel policy Putting a range of contracts/agreements in place for the individuals/events using the Quantum Connect (Compliance) system Registering colleagues for conferences/trainings Sourcing and booking compliant meeting venues as and when necessary Processing and documenting expenses relating to Healthcare Professionals Requesting Purchase Requisitions (POs) relating to all Medical projects using the Ariba (SAP) system and closing POs at the end of each project Setting up new vendors/suppliers Creation of contracts relating to Healthcare Professionals and Healthcare Organisations Central contact for archiving-related matters
