Main duties of the job This is a summary of the main tasks, full details can be found in the attached job Provide specialist administrative support to the Executive Personal Assistants (PAs)taking on specific tasks and responsibilities as required to support the Executive Admin team Provide front of house service, meeting and greeting both internal and external Communications - manage post; opening, sorting and distributing mail, receive and action general queries by phone or emailo Action often complex instructions from the Executive PAs, Executive Directors and Deputies o Support the Executive PAs to maintain an up-to-date electronic diary for the Executive Ensure Executive Directors are prepared for meetings by ensuring that they have all papers and information Maintain filing systems and electronic databases ensuring that all relevant correspondence and documents are available when requiredo Take minutes and action notes for meetings chaired by Executives or those for which the executive team are responsible as required.
