Job Title: Team Administrator
Contract Length: 6 months
Job Description / Overall Purpose of the Role
The Team Administrator will provide administrative support to the Head of department, Senior Managers, and Management Assistant, ensuring the management team operates efficiently, safely, and cost-effectively.
Main Responsibilities of the Team Administrator:
* Coordinate training requirements for personnel with internal and external training providers.
* Maintain accurate timekeeping records for engineering and commercial teams.
* Manage and oversee workwear and PPE orders in collaboration with the Health, Safety & Environment Advisor.
* Process purchase orders, requisitions, and vendor approval forms.
* Handle diary management and room bookings for internal and external users.
* Maintain office supply stocks and reorder items in a timely manner.
* Process invoices accurately and promptly.
* Manage incoming mail, correspondence, and phone calls.
* Process visitor forms for all personnel and visitors to RAF Shawbury.
* Monitor and manage access for employees and visitors within the facility.
* Liaise with other departments across all levels within the company.
* Provide any additional administrative support for the MFTS team as required.
Knowledge and Skills Required for the Team Administrator Role:
Essential:
* Proficiency in IT for word processing, data management, email, and digital file storage.
* Strong knowledge of office procedures and terminology.
* Excellent command of spoken and written English, including spelling and punctuation.
* Friendly, professional demeanor with strong customer service skills.
* High level of literacy and numeracy for reports and business correspondence.
* Excellent organizational skills, with the ability to plan and prioritize work to meet deadlines.
* Strong focus and attention to detail.
* A “can-do” attitude and commitment to completing tasks accurately and on time.
* Ability to exercise discretion and maintain confidentiality
Desirable:
* Basic understanding of accounting practices.
* Familiarity with Google Workspace suite of business applications.
* Experience with SAP database software.
Additional Requirements:
* Basic Security Clearance is required due to MoD security requirements.
* Must hold a Full UK Driving License and have access to a vehicle for work purposes.
* This is an office-based role in Shawbury, with up to 37.5 hours per week. Part-time hours may be considered.
