About the role

To coordinate and support the fleet function, including overseeing the Fleet function, ensuring full utilisation of the groups designated fleet management system(s), vehicle delivery and off-hire, vehicle compliance and vehicle accident/incident management.

To ensure the efficient and effective provision of Fleet services across in the North and South Region and help provide the most suitable Fleet operational support for GreenSquareAccord employees.

Ensure all aspects of fleet operates within UK driving laws, the groups driving policies or any other applicable company policies.

The individual will have significant experience in Fleet Management as well as the ability to help find creative solutions to driving forward the thinking change within fleet environments to benefit colleagues and our customers.

The Fleet Coordinator will provide support to the Fleet and Facilities Manager, maintaining the groups fleet of vehicles and ensuring that all aspects of fleet are correctly recorded and administered, in line with all relevant UK laws and guidelines. They will take an active role in the arrangements of vehicle delivery and off-hire. They will work closely with the DLO and Estates Team to support Managers and Operatives, taking incitive to ensure the fleet for each operative is fit for purpose and ensure effective practices are used to reduce downtime of vehicles.

To ensure the smooth running of Fleet across the business, whilst delivering compliance with health and safety and value for money.

To be the point of contact with colleagues, suppliers and managers in relation to the provision and management of Fleet.

About you
As a Fleet Coordinator you are essential to ensuring smooth and efficient operations across GSA.

You will have strong organisation skills, with the ability to manage multiple vehicles, schedules and driver simultaneously without errors.

You will have keen attention to detail, ensuring all documentation, systems and compliance are managed and up to date.

You will have the ability to take initiative when working on time critical and operational tasks to reduce downtime and provide an efficient service in our Fleet.

You will be safety conscious with the aptitude focus on safety and compliance in regard to our Fleet.

You will be able to communicate effectively, in a professional and concise manner including speaking with internal and external stakeholders whether to manage appointments and schedules or deliver toolbox talks.

Competent in IT including excel, word and PowerPoint. Familiarity with Fleet services and management systems would be a bonus.

You will be able to prioritise tasks and manage time effectively, including adapting and responding quickly to changing situations.

You will be data-driven and able to spot trends and make decisions based on analytics, in order to improve the fleet service and ensure safety and compliance.

You will be customer focused, ensuring that the Fleet service meets the needs of GSA and meets designated KPI`s set out by the directorate.
