Job Overview

We are seeking a highly motivated and organized individual to join our team as a Receptionist/Administrator in our busy Audiology department. As a key member of our administrative team, you will be responsible for providing exceptional customer service to our patients and stakeholders.

The ideal candidate will have a positive and proactive approach to work, with a strong desire to deliver the highest standard of customer service in a fast-paced environment. You will be required to work at both of our sites, St Peters Centre and Royal Blackburn Hospital, and will be an integral part of our close-knit team.

Main Duties
  • Provide an efficient and courteous link with colleagues, clients, parents, and other professionals within the service using appropriate communication skills.
  • Input new referrals onto the IT system.
  • Fulfill clinic cancellations.
  • Ensure all incoming/outgoing mail is dealt with appropriately and efficiently.
  • Deal with incoming telephone calls, ensuring queries are dealt with quickly and accurately.
  • Undertake a range of general office duties, including filing, photocopying, and verbally contacting patients prior to their appointment.
  • Receive and receipt patient ear moulds.
  • Distribute clinic letters via email and post.
  • Distribute patient appointment letters.
  • Book appointments and maintain appointment opt-in spreadsheet/system.

Our Audiology team works across multiple sites, and our administrative teams work at St Peters Centre and Royal Blackburn. We are a close-knit unit with a great team of both administration and clinical staff who work together and support each other to provide a great service for our patients.

Person Specification

The ideal candidate will possess the following qualifications, experience, and skills:

  • GCSE in English at level 4 or above.
  • Previous reception/admin experience.
  • Evidence of previous experience dealing with sensitive confidential information.
  • Familiarity with NHS IT systems.
  • Good communication skills and the ability to liaise with staff and the general public.
  • Good understanding and experience of IT systems, including Word, Excel, and Outlook.
  • Good understanding of confidentiality.
  • Ability to work without supervision and use own initiative.
  • Ability to work as part of a team.
  • Ability to multitask and prioritize workload in a busy environment.
