Senior Inventory Systems Specialist

Job Summary
Marex Spectron seeks a highly skilled and experienced Calero Inventory Systems Analyst to join our team. The successful candidate will be responsible for managing market data, telecoms, and IT recurring contracts and expenses, ensuring compliance with Marex policies.
Key Responsibilities
The role will involve analyzing data, managing supplier relationships, and providing actionable insights to reduce costs and improve efficiency. Key responsibilities will include:
- Managing Calero's MDM and TEMS modules to ensure accurate records for supplier services, legal contracts, amendments, cancellations, and related documentation.
- Reporting on and managing upcoming contract renewals and expirations to ensure the business has advance awareness of contract expiries or auto renewals.
- Maintaining and updating Contract inventory with accurate dates and terms.
- Daily maintaining market data, IT, and Telecoms inventories accurately using Calero's MDM and TEMS software.
- Operating the Joiners and Leavers process to ensure the inventory is updated and services are added or terminated as required.
- Preparing, monitoring, verifying, and distributing reports on a regular basis regarding cost reporting.
- Supporting finance with accruals and prepayment management.
- Preparing ad hoc reporting from the Calero Database upon request.
- Continuously reviewing and auditing existing processes to ensure effective performance and compliance with mutually agreed requirements and control procedures.
- Uploading Bloomberg entitlement files (SID file and EMRS file) and reconciling to the inventory.
- Uploading all application usage files when defined by trade support.
- Producing analysis of unused sources, services, and users across supplier and/or proprietary entitlement systems where applicable.
- Managing exchange declarations together with CME Netting declarations.
- Discovering and executing removal/transfer of unused sources/products/exchanges.
- Reviewing and uploading invoices including files where required.
- Reconciling invoices to Calero database.
- Ensuring cost allocations are current and accurate.
- Exception handling through internal and external escalation.
- Processing invoices and responding to suppliers regarding status and chasing suppliers for missing invoices.
Requirements
The ideal candidate will have:
- A strong analytical and quantitative skills with proficiency in data analysis tools (e.g., Excel and Power BI).
- Excellent attention to detail, with a high degree of accuracy in data analysis, reporting, and auditing.
- Excellent organization and time-management skills.
- Strong communication and interpersonal skills to effectively collaborate with stakeholders.
- Ability to manage multiple projects and meet deadlines.
- Knowledge of supplier management principles, practices, and regulations.
- Experience working in a regulated environment and knowledge of the risk and compliance requirements associated with this.
