Role Summary

The Grants Management Associate will assist the Policy, Knowledge & Training team in creating a diverse range of knowledge resources (in written, visual, and digital formats) and in designing and executing innovative communication strategies to effectively disseminate these resources to various audiences within the Open Society Foundations.

Key Responsibilities

  • Collaborate with the Associate Director and the Policy, Knowledge & Training team, along with Grants Management colleagues and other stakeholders, to develop, test, produce, and refine knowledge resources (such as manuals, training guides, policy documents, case studies, workbooks, videos, online learning tools, and other materials) related to Open Society's Salesforce-based grant management software, compliance, and policies.
  • Support a team of Grants Management trainers in facilitating training sessions, both independently and as part of the Policy, Knowledge & Training team, for in-person and remote learning opportunities.
  • Organize resources, information, and data into accessible formats to meet the needs of end users across the organization.
  • Develop and maintain informational resources for Grants Management, ensuring that appropriate controls are established and that materials are accurate, complete, and user-friendly.
  • Assist in executing communication strategies to share knowledge resources with diverse audiences within Open Society.
  • Stay informed about grants management and grantmaking policies, procedures, and practices at Open Society, providing assistance to stakeholders as needed.
  • Foster and maintain relationships with program and operational units across Open Society, identifying valuable knowledge and experience within the organization that can be systematized and shared.
  • Identify knowledge gaps within the organization that the Policy, Knowledge & Training team should address.
  • Provide advanced administrative support for Policy, Knowledge & Training projects, including scheduling and arranging logistics for meetings, contributing to agenda development, managing project timelines, and addressing administrative issues related to consultants' work.
  • Perform various administrative tasks and other duties as assigned.
  • Willingness to travel up to 15%.

Qualifications

Essential:

  • A university degree (BA or BSc).

Experience

Essential:

  • Proven experience in designing and testing training materials.
  • Familiarity with complex administrative policies and procedures, with the ability to quickly understand and apply them.
  • Proficient computer skills, including Microsoft Office, Sharepoint, and experience with knowledge management platforms (e.g., Freshservice, Interact).

Desirable:

  • Experience as an effective teacher, trainer, or facilitator.
  • Familiarity with grant processing software/systems (Salesforce or other CRM preferred) and knowledge of grantmaking concepts within the philanthropic and non-profit sectors.
  • Previous experience with processes and systems from either Grants Management or Programmatic teams.
  • Demonstrated experience collaborating with multi-country stakeholders within a complex multinational organization.
