Role Summary
This position is designed to assist the Policy, Knowledge & Training team in creating a diverse range of knowledge resources (in written, visual, and digital formats) and in developing and executing innovative communication strategies to effectively disseminate these resources to various audiences within the Open Society Foundations.
Key Responsibilities
- Collaborate with the Associate Director and the Policy, Knowledge & Training team, as well as members of Grants Management and other stakeholders, to create, test, produce, and refine knowledge resources (such as manuals, training guides, policy documents, case studies, workbooks, videos, online learning tools, and other materials) for Open Society's Salesforce-based grant management system and related compliance and policy frameworks.
- Support a team of Grants Management trainers in delivering training sessions, both independently and as part of the Policy, Knowledge & Training team, for both in-person and remote learning environments.
- Organize resources, information, and data into accessible formats tailored to the needs of end users within Grants Management and the broader organization.
- Develop and maintain informational resources for Grants Management, ensuring accuracy, completeness, and readability through appropriate controls.
- Assist in executing communication strategies to effectively share knowledge resources with diverse audiences within Open Society.
- Stay informed about grants management and grantmaking policies, procedures, and guidelines at Open Society, providing assistance to stakeholders as necessary to ensure understanding and compliance.
- Foster and maintain relationships with program and operational units across Open Society, identifying valuable knowledge and experiences within the organization that can be systematically shared.
- Identify knowledge and experience gaps within the organization that the Policy, Knowledge & Training team should address.
- Provide advanced administrative support for Policy, Knowledge & Training initiatives, including scheduling and organizing logistics for meetings, contributing to agenda development, facilitating work meetings as needed, managing project timelines, identifying operational needs, and addressing administrative issues related to consultants.
- Perform various administrative tasks and other duties as assigned.
- Travel may be required up to 15%.

Qualifications
Essential:
- Bachelor's degree (BA or BSc)
Experience
Essential:
- Proven experience in designing and testing training materials
- Familiarity with complex administrative policies and procedures, with the ability to quickly comprehend and apply them.
- Strong computer skills, including proficiency in Microsoft Office, Sharepoint, and experience with knowledge management platforms (e.g., Freshservice, Interact).
Desirable:
- Experience as an effective educator/trainer/facilitator
- Familiarity with grant processing software/systems (Salesforce or other CRM preferred) and knowledge of grantmaking concepts within the philanthropic and non-profit sectors
- Previous experience with processes and systems from either Grants Management or Programmatic teams.
- Demonstrated ability to collaborate with stakeholders across multiple countries within a complex organization.
