About the Role:
Gentoo, a values-led charitable organisation, is seeking an experienced Administration Assistant to join the Property Asset Management Department on a full-time basis. The successful candidate will provide efficient and effective administration support to the Asset Department and colleagues.
Key Responsibilities:
- Manage day-to-day queries through the management of a dedicated email inbox and telephone enquiries from both internal and external customers.
- Attend meetings for minute taking.
- Arrange and manage appointments for stock condition surveys.
- Prepare documents using Microsoft Word, including the creation of mail merges.
- Administration duties to support the department, including arrangement of meetings, raising orders, recording and inputting data, post, archiving, filing, and updating/retrieval of records, and maintaining department stationery requirements as necessary.
Requirements:
- Demonstrable experience working in a busy office environment, handling large volumes of internal and outbound calls.
- A proficient user of Microsoft Office suite, which is also used to arrange and book survey appointments.
- Minutes taking for operational meetings.
- Effective communication skills and ability to communicate at a range of levels.
- Excellent organisational and administration skills.
