Job Description

As an Operations Assistant at CTS Offshore and Marine, you will play a vital role in ensuring the smooth operation of our projects. Your primary responsibilities will include:

Key Responsibilities
  • Creating and managing new projects, quotes, invoices, and purchase orders in our CRM system.
  • Preparing and sending quotations to clients, as well as issuing and chasing sales invoices.
  • Liaising with manning agents and freelancers to secure required manpower.
  • Arranging international and domestic travel, hotels, visas, and other logistical arrangements.
  • Liaising with port agents regarding the transfer of personnel and goods to/from vessels/rigs.
  • Coordinating with suppliers for the purchase/rent of equipment, tools, and consumables.
  • Keeping track of multiple overseas engineering and consultancy projects simultaneously.
  • Filing project records to ensure compliance with ISO 9001, 14001, 29001, and 45001 standards.
  • Monitoring costs and ensuring they remain within budget.
  • Verifying personnel certificates and training records to ensure valid certifications.
  • Maintaining office and stationary supplies, as well as tracking petty cash expenses.
  • Reviewing personnel expenses and filling in required questionnaires.
Requirements
  • Degree holder (not necessary but preferred).
  • Experience in Administrative/Operations positions, preferably in Marine/Offshore/Marine Oil and Gas, construction, or similar backgrounds.
  • Minimum 2 years of experience in a similar role.
  • Multitasking and organisation skills.
  • Team player with excellent communication skills.
  • Effective time management.
