Job Overview

We are seeking a highly organized and customer-focused Vehicle Recovery Coordinator to join our team in Solihull, Birmingham. This role involves managing the off-hire process of vehicles, ensuring priority off-hires are handled first to benefit the business.

Key Responsibilities
  • To ensure timely and efficient processing of vehicle returns, prioritizing high-priority cases for maximum business benefit.
  • Effective communication with customers to arrange collection of vehicles via phone, email, and text messages, following up as necessary to confirm arrangements.
  • Processing vehicle off-hires with suppliers according to internal procedures and Service Level Agreements (SLAs).
  • Responding to customer queries regarding retention or refusal of hire vehicles, escalating issues as needed to resolve disputes.
  • Applying correct abortive charges for missed or uncollected vehicles, taking necessary actions to note claims and update accounts accordingly.
  • Utilizing the company's preferred supply chain through our in-house system to process off-hires efficiently.
  • Maintaining compliance with technical and regulatory processes and procedures.
  • Managing incoming and outgoing emails in the inbox, uploading relevant information into the off-hire system and taking necessary action.
  • Completing Supplier Reports and updating the VRG system accurately and on time.
  • Providing exceptional customer service via phone calls, responding promptly and efficiently to customer inquiries.
  • Ensuring timely completion of reports as set by the Team Leader.
  • Actioning emails received in the designated Off Hire Inbox.
  • Processing payments efficiently and effectively.
  • Collaborating closely with the Team Leader to achieve shared goals and objectives.
Requirements
  • Previous experience in a busy customer services role is essential.
  • A proactive approach to problem-solving and organizing workload is required.
  • A quick learner with a natural ability to understand processes is ideal.
  • A good overall ability with technology, including Microsoft Office packages.
  • A good standard of education is expected.
  • The ability to work well within the team, using own initiative to achieve results is crucial.
