Job Description

Ground Control, a leading external maintenance business and biodiversity expert, seeks an experienced Executive Personal Assistant to support the Managing Director and senior leadership team. The ideal candidate will possess exceptional organisational skills, strong communication abilities, and a talent for working independently.

Key Responsibilities
  • Calendar Management: Efficiently manage calendars, schedule appointments, meetings, and travel arrangements to ensure seamless coordination.
  • Communication Management: Prepare correspondence, emails, reports, agendas, and minutes for executive review, showcasing strong editing and drafting skills.
  • Board Meeting Coordination: Prepare agendas, take minutes, and follow up on action items for board and leadership meetings, demonstrating attention to detail and organisational prowess.
  • Document Preparation: Create and manage documents and presentations for various meetings and events, showcasing proficiency in tech tools and office software.
  • Stakeholder Liaison: Serve as a liaison between the Managing Director and internal/external stakeholders, fostering positive relationships and promoting a culture of collaboration.
  • Special Projects & Event Management: Assist in organising company events, conferences, and other key projects as needed, demonstrating flexibility and adaptability.
  • Expense & Compliance Management: Track expenses and ensure compliance with organisational policies, showcasing a high level of integrity and professionalism.

Requirements
  • Exceptional communication skills, both written and verbal.
  • Strong organisational abilities with the capability to prioritise tasks and meet deadlines.
  • Skilled in tech tools and office software, with a talent for working independently.
  • High level of integrity, discretion, and professionalism.
  • Familiarity with board-level administration and corporate governance.
