About the Role:

We are seeking a highly organized and detail-focused Shipping Data Coordinator to join our team. As a key member of our staff, you will be responsible for assisting in planning internal and external audits for vessel certifications, serving as secretary to our Managing Director, organizing and maintaining our electronic filing system, preparing and distributing meeting minutes, circulars, reports, and presentations as needed, liaising with vessels, office departments, and third parties regarding their Health and Safety activities, supporting health, safety, environmental, and quality management tasks, and attending training, seminars, and management meetings as required.

Key Responsibilities:
  1. Assist in planning internal and external audits for vessel certifications
  2. Provide administrative support to the Managing Director
  3. Organize and maintain the company's electronic filing system
  4. Distribute meeting minutes, circulars, reports, and presentations as needed
  5. Liaise with vessels, office departments, and third parties regarding Health and Safety activities
  6. Support health, safety, environmental, and quality management tasks
  7. Attend training, seminars, and management meetings as required
Requirements:

To succeed in this role, you will need fluency in English and Japanese, excellent attention to detail and organizational skills, strong organizational skills with the ability to manage multiple tasks and deadlines, proficiency with Microsoft Office software, and proven experience in an administrative support role.
