Job Summary: Venn Group is seeking an experienced Administrator to join our team on a temporary to permanent basis. As an Administrator, you will be responsible for coordinating administrative duties, supporting the Contract Manager, and ensuring the smooth operation of our estate management plans.

Key Responsibilities:

  • Administrative Duties: Coordinate administrative tasks such as contractor queries, service delivery dates, raising orders/approving invoices, uploading compliance documents, and taking notes during contractor meetings.
  • Support to Contract Manager: Assist with the coordination and arrangement of surveys, chasing quotes, and attendance from contractors.
  • Estate Management: Keep estate cost planners, trackers, and records up to date, ensure waste management runs smoothly, and update estate management plans.
  • Room Hire Coordination: Coordinate and support room hire requests.
  • Invoice Creation: Create invoices once the event has been carried out.
  • Compliance and Risk Management: Ensure DBS checks, HSE requirements, site inductions/RAMS/permit to work, and suitability declarations are compliant with procedures.
  • Contractor Liaison: Oversee and liaise with contractors on site and update them with the latest information, covering for the Contracts Manager when required.
  • KPI Monitoring: Assist with the monitoring of Contract KPIs and keeping up-to-date issue logs.
  • Tender and Procurement Support: Support with the tender and procurement process.
  • Audit and Quality Control: Complete regular audits to ensure service delivery across contractors meets expectations.

Requirements: The ideal candidate will have experience in administrative roles, excellent organizational skills, and the ability to work independently. A competitive hourly rate of £12.82-£13.50 per hour, inclusive of holiday pay, will be offered depending on experience.
