We are seeking an experienced Academic Program Coordinator to join our team in New York City. This role offers a unique opportunity to develop and manage pharmaceutical meetings, driving growth and success.

Key Responsibilities:
  • Develop and manage pharmaceutical meetings, ensuring effective execution and on-site management.
  • Facilitate program planning calls with clients and internal project teams, providing timely updates and analysis.
  • Create meeting specifications, working closely with hotels to ensure accurate food & beverage, meeting room setup, and guest room arrangements.
  • Oversee registration, housing, air and ground transportation arrangements, securing sponsor approvals for change in scope and budget exceptions.
  • Promote a positive, cohesive team approach during the planning process and onsite execution, working directly with hotel, vendors, sponsors, clinical teams, and attendees.
Meeting Support:
  • Collaborate with Program Specialists to develop meeting timelines, meeting-specific requirements, and ad-hoc requirements.
  • Ensure compliance with global regulatory guidelines established in the pharmaceutical industry.
  • Manage attendee tracking, registration, housing, air and/or ground transportation arrangements, and final reporting.
  • Communicate effectively with clients, internal project teams, and attendees through various channels.
Requirements:
  • Bachelor's Degree.
  • Proficient in Microsoft Office applications, with a heavy emphasis in Excel.
  • Able to travel up to 50%, including weekends.
  • Previous meetings or pharmaceutical experience is preferred.
