Main Responsibilities- Provide outstanding administrative support for Allocations and Sales duties, ensuring timely and efficient delivery of services.
- Carry out virtual appointments and review financial arrangements, escalating to the Allocations and Sales Team Leader/Accommodations Manager for approval.
- Support the proactive management of debt by contacting students using various communication methods to reduce Student Living debt.
- Manage Allocation & Sales virtual appointments and review financial arrangements, escalating to the Accommodation Manager (Allocations & Sales) for approval.
- Support and signpost students to appropriate services and stakeholders when in financial hardship.
- Provide second-line support to resolve complex queries related to room allocations and licence agreement payments.
- Collaborate with the Student Living Customer Service team to share information and deliver training on Allocations and Sales processes.
- Actively promote on-campus and off-campus residential accommodation.
- Produce statistics and spreadsheets of data as required, exporting data from the Student Living software into Excel.
- Ensure compliance with University policies and procedures, completing relevant training and staying up-to-date with best practices.
- Work independently, manage a large and variable daily workload, and carry out day-to-day administrative tasks.
- Be a key member of the Allocations & Sales team in the distribution, receipt, allocation, and processing of licence agreement applications.
- Support the Head of Student Living in implementing operational changes, utilising best practice and new technologies.
- Support and collaborate with all teams in Student Living, including Allocations and Sales, Customer Service, Service Delivery & Compliance, and Brunel Student Lettings.
- Ensure complaints are promptly acknowledged and dealt with using diplomacy, escalating to the Student Living Management team/Head of Student Living where necessary.
- Support the delivery of an effective, student and customer-focused application and allocation process to maximise University income.
- Ensure adherence to finance regulations throughout the service.
- Check systems and payment amounts for each student before invoicing using the Brunel University London finance system.
- Record accommodation deposits and Licence Agreements using various technology and systems.
- Keep skills up-to-date, including Excel, Access, and PowerPoint, Web skills.
- Make day-to-day decisions in relation to own duties and recognise when to refer or involve others.
- Liaise with stakeholder departments to share and obtain current and up-to-date information regarding Student Living, Commercial, and Campus Services.
