As a Senior Learning Events Coordinator, you will lead a team of Learning Administrators in providing administrative and operational support for various learning interventions. You will work closely with the Learning Event & Administration Leadership Team, Client Account Managers, and client stakeholders to ensure that all services delivered meet or exceed client-agreed service levels.

The role involves working with colleagues to identify additional client opportunities and drive business growth. You will also be responsible for ensuring our internal operating model remains commercially viable. Based at our client site in central London, you may be required to attend evening events.

Key responsibilities include:

  • Understanding the unique requirements for each event
  • Building relationships with external stakeholders and seeking external input into decision-making processes
  • Supporting the development and management of event budgets and efficiently planning events within tight time constraints
  • Allocating and monitoring work to achieve deadlines stipulated by the client to deliver program objectives
  • Managing the booking of venues, coordinating AV support, catering, and conference services
  • Managing speaker arrangements and agenda sessions
  • Managing and communicating with internal stakeholders, client stakeholders, and external vendors to a senior executive level
  • Managing various event operations, such as communication, travel support, and roster management
  • Handling learner inquiries via phone or email, managing escalations as per service level agreements, and suggesting improvements as needed
  • Effectively communicating event handovers, including all important and relevant information
  • Modifying or supporting the delivery of both virtual and onsite events
  • Overseeing event proceedings and promptly addressing any issues that may arise
  • Supporting or deputizing the Regional Learning Program Manager
  • Delegating administrative tasks to Learning Events Coordinators where necessary
  • Evaluating the success of events and submitting comprehensive impact reports
  • Providing value-added services as appropriate for continuous improvement
  • Raising any potential challenges or risks within the appropriate guidelines and processes

To excel in this role, you will need to develop a deep understanding of both our internal operations and our client's businesses. You should exhibit confidence, possess excellent prioritization skills to manage a diverse workload, project a professional image, and demonstrate impeccable written and verbal communication abilities. You will need to be comfortable and confident in delegating tasks to Learning Events Coordinators, taking initiative to problem-solve perceived risks, and managing expectations of others.

Additional requirements include:

  • Proven experience of onsite event coordination and support
  • Previous administration experience
  • Project management capabilities (status updates, risk identification, etc.)
  • Experience with Teams or Zoom
  • Advanced knowledge of Microsoft Office
  • Proven effective communication skills, both verbal and written
  • Excellent organizational skills with a customer-focused approach
  • Teamwork experience, including virtual teams
  • Ability to prioritize and manage a range of tasks simultaneously
  • Efficient and organized with strong attention to detail

Desirable skills include:

  • Previous budget management experience
  • Ability to make appropriate financial and customer service decisions
  • Experience of working in a global capacity (across regions/time zones)
