Job Summary

We are seeking a highly organized and customer-focused Receptionist to join our team at Millstream Medical Centre. As a key member of our front desk team, you will be responsible for providing exceptional patient care and administrative support to our healthcare professionals.

Main Responsibilities

  • Maintain and monitor the practice appointment system to ensure seamless patient flow.
  • Welcome patients and visitors, directing requests appropriately and providing a positive first impression of our practice.
  • Process personal, telephone, and e-requests for appointments via SystmConnect, ensuring timely and efficient communication.
  • Answer incoming phone calls, transferring calls or dealing with caller requests in a courteous and professional manner.
  • Signpost patients to the correct service, providing clear guidance and support.
  • Initiate contact with and respond to requests from patients, team members, and external agencies, maintaining confidentiality and discretion.
  • Clinically code data on SystemOne, ensuring accurate and up-to-date patient records.
  • Photocopy documentation as required, maintaining a clean and organized workspace.
  • Data entry of new and temporary registrations, as well as relevant patient information, into patients' healthcare records.
  • Input data into patients' healthcare records as necessary, ensuring accuracy and completeness.
  • Direct requests for information, SAR, insurance/solicitors letters, and DVLA forms to the administrative team, maintaining efficient communication.
  • Manage all queries in an efficient manner, providing timely and effective solutions.
  • Carry out system searches as requested, maintaining confidentiality and discretion.
  • Maintain a clean, tidy, and effective working area at all times, adhering to practice standards.
  • Monitor and maintain the reception area and notice boards, ensuring a welcoming and informative environment.
  • Support all clinical staff with general tasks as requested, providing administrative assistance.
  • Action incoming mail and correspondence, ensuring timely and efficient processing.
  • Scan patient-related documentation and attach scanned documents to patients' healthcare records, maintaining electronic records.
  • Complete opening and closing procedures in accordance with the duty rota, ensuring a smooth transition of tasks.

Qualifications

  • Basic IT skills, including proficiency in SystmOne.
  • Polite and confident communication skills, with the ability to work effectively in a team.

  • Performing under pressure, with a calm and composed demeanor in challenging situations.

Experience

  • GCSE Grade C or above (or equivalent) in English and maths, with an understanding of confidentiality and data protection.
  • Desirable experience of working with SystmOne, with a strong understanding of the system's functionality and capabilities.
