We are seeking a highly organised and detail-oriented Facilities Administrator to join our team at Apex Resource Management. As a key member of our facilities team, you will play a critical role in supporting our operations by providing administrative support and ensuring compliance with health and safety standards.

Your Key Responsibilities:
  1. Compliance and Safety: Maintain accurate records and support the facilities team in ensuring compliance with health and safety standards.
  2. Certification Management: Administer and organise statutory certificates, ensuring all legal requirements are met and records are easily accessible.
  3. Scheduling and Record Keeping: Arrange and manage bookings for health and safety inspections and compliance tasks, updating records to reflect the latest information.
  4. Employee Wellbeing and Lone Working Support: Assist in the administration of programs dedicated to employee wellbeing and lone working, ensuring a safe and supportive environment for all staff.
  5. HR Assistance: Work closely with the Senior Estate and Projects Team Manager to manage HR-related tasks, including tracking holiday entitlements, recording absences, and maintaining a comprehensive training matrix.
  6. Procurement and Inventory Management: Facilitate the procurement process by raising purchase orders and invoice requisitions, including the ordering of PPE and other essential items.
  7. Access Control: Manage the creation and administration of employee and contractor passes, ensuring everyone on site has the proper credentials.
  8. KPI and Incident Reporting: Contribute to the organisation's success by providing accurate data for KPI reporting systems, including tracking incidents, accidents, and near-miss events.
  9. Team Support: Provide essential support to the facilities team by booking rooms, managing diaries, and ensuring all team members have what they need to succeed.
  10. Event Coordination: Assist in the planning and execution of events, ensuring everything runs smoothly from start to finish.
Working Hours:
