About the Role

We are seeking a highly organized and detail-oriented Administrative Support Assistant to join our team at Csa Environmental. As a key member of our Office and Administration team, you will provide essential support to enable the smooth running of our busy Environmental consultancy practice.

As an Administrative Support Assistant, you will work within and promote a positive and proactive working environment, providing support to the Ecology team with day-to-day tasks and administration of projects and records. You will also be responsible for preparing equipment for field surveys and providing general administrative support to the team.

This is a part-time position, and flexible hours are available within normal working hours, Monday to Friday, 09:00.

Key Responsibilities
  1. Office Administration: Provide day-to-day office operational support and act as a linchpin for a busy team of consultants who may be working in the office, at home, or in the field.
  2. Provide day-to-day support to the Ecology team, including administration, handling, and prioritizing incoming correspondence, coordinating communications, and responding as necessary.
  3. Order and maintain office and ecology equipment and supplies as required.
  4. Provide support to staff in the Brighton office and be the link with HR and Payroll Coordinators in the Ashwell and Tewkesbury offices.
  5. Provide support to staff in the Brighton office in relation to Health and Safety procedures and audits and be the link with the Health and Safety Coordinator in the Tewkesbury office.
  6. As a member of the wider Administration team based in other offices, meet regularly on Teams or in person.
  7. General office coordination, including maintaining and updating office and utility records and overseeing any facilities requests.
  8. Other general office duties and support to ensure the smooth running of the team.
  9. Ecology/Ecologist Support: Maintain fee correspondence files and update fee summaries where necessary.
  10. Organize accommodation for Ecologists as and when required.
  11. Data entry into Onesys Coretime, project, and time management software, including setting up new jobs and inputting outlays.
  12. Produce monthly project reports for invoicing, job reviews, and maintaining in-house fee tracking systems to facilitate invoicing using the Onesys Coretime time management software.
  13. Provide general administrative support to the team of ecologists in the Brighton office. Attend the weekly Ecology team meeting and update the active jobs sheet.
About You

We are looking for a friendly, conscientious, and enthusiastic individual with previous admin experience and good IT/computer skills. Ideally, you will live in the Brighton or Hove area and be able to walk or cycle to work or have access to public transport.

  1. Experience of working within a busy office environment.
  2. Experience of working with Microsoft Office Suite.
  3. Experience of working with computer software.
  4. Previous administration experience (minimum 2 years).
  5. Ability to work on own initiative and as part of a team.
  6. Excellent organizational, communication, and interpersonal skills.
  7. Ability to multi-task and show a flexible approach to work.
  8. Willingness to learn and take on new tasks.
  9. Ability to work to deadlines.
  10. Desire to raise standards in own work and have a positive can-do attitude.
  11. Experience of working within a planning and/or environmental consultancy.
  12. Experience of Onesys-Coretime.
  13. Ability to use, or willingness to learn, web-based software.
  14. Willingness to contribute towards supporting marketing and social media posts.
  15. Proactive approach to finding and providing information.
  16. Commitment to developing own skills.
Qualifications
  1. GCSE grade C or above in English and Maths or equivalent.
  2. NVQ 2 in Business Administration or equivalent.
