Job Title:

Executive Assistant - Part Time Opportunity

About the Role:

We are seeking an Executive Assistant to join our team in a part-time capacity. The successful candidate will provide administrative support to our Marketing Leadership Team, maintaining and managing their diaries, arranging meetings, and coordinating events.

Key Responsibilities:
  • Provide high-level administrative support to the Marketing Leadership Team.
  • Maintain and manage calendars, arrange meetings, and book venues/hotels/travel.
  • Coordinate meetings and conferences, including catering and logistics.
  • Attend meetings, take minutes, track, and maintain action items to closure.
  • Create PowerPoint presentations, Word documents, and Excel spreadsheets.
  • Prepare and submit multi-currency expense reports.
  • Conduct specific projects and research on behalf of the Marketing Team, managing information flow accurately and timely.
  • Maintain office systems, data management, and electronic filing as needed.
  • Efficiently administer marketing contracts and documentation.
  • Implement new processes and procedures to streamline work.
Requirements:
  • Team player with strong working relationships with internal and external stakeholders.
  • Flexible, 'can-do' attitude with high attention to detail.
  • Passionate, intelligent, resilient, and highly motivated individual.
  • Proven experience providing high-level administrative support.
  • Intermediate to advanced proficiency in MS Office 365 (PowerPoint, Excel, Word).
  • Demonstrated ability to manage and own projects.
  • Highly organized and efficient with outstanding time management skills and prioritization abilities.
  • Ability to work well under pressure and meet strict deadlines while remaining calm and professional.
  • Maintain confidentiality of company and employee information at all times.
  • Comfortable working alongside and communicating with decision-makers at all levels.
  • Self-motivated and able to work independently in a dynamic, fast-paced environment.
  • Willingness to travel for meetings and events as required.
