About the Role:

We are seeking an Executive Assistant to join our Marketing Leadership Team at The Advocate Group. As a key member of the team, you will provide administrative support and drive growth within the company.

Main Responsibilities:

  • ">
  • Provide administrative support to the Marketing Leadership Team, including maintaining and managing diaries, arranging meetings, and booking meeting rooms and software links.">
  • Coordinate Marketing Vice President meetings and conferences, including venue and hotel booking, travel arrangements, and catering.">
  • Attend meetings, take minutes, track action items, and ensure closure.">
  • Create PowerPoint presentations, Word documents, and Excel spreadsheets.">
  • Prepare and submit multi-currency expense reports.">
  • Create and manage purchase orders, ensuring payment of invoices with the EMEA finance team.">
  • Conduct specific projects and research on behalf of the Marketing Team, managing information flow accurately and timely.">
  • Maintain office systems, data management, and electronic filing as needed.">
  • Efficiently administer Marketing legal contracts and other documentation.">
  • Implement new processes and procedures to streamline work.">
  • Perform other ad hoc duties as required by the Marketing Team, adapting to the evolving needs of the business.">

  • Highly organized and efficient with outstanding time management skills and the ability to prioritize effectively.">
  • Ability to work well under pressure and meet strict deadlines while remaining calm and professional.">
  • Maintain confidentiality of company and employee information at all times.">
  • Comfortable working alongside and communicating with decision-makers at all levels.">
  • Self-motivated and able to work independently in a dynamic, fast-paced environment.">
  • Willingness to travel for meetings and events as required.">
