About the Role

We are seeking an experienced Music Industry Assistant to join our team in London. As an Assistant, you will be responsible for providing administrative support to our agents in client and internal matters.

Key Responsibilities
  • Maintain accurate records of artist contact information and deal memos in our bespoke CRM booking system.
  • Keep client bios, riders, and marketing assets up to date.
  • Enter offers and relevant show details into our CRM booking system.
  • Issue contracts for confirmed performances and handle subsequent contract amendments.
  • Track unreturned contracts and chase signed contracts.
  • Complete and issue artist itineraries.
  • Create and send invoices for show-related payments (deposits, balances, etc).
  • Track, collect, and enter settlement figures into our CRM; notify our accounting department to generate statements.
  • Track unpaid deposits and liaise with our accounting team to ensure show funds are received on time.
  • Prepare and issue immigration paperwork (Certificate of Sponsorship).
  • Set up tour announcements and on sales, liaising with promoters and client teams regarding ticketing and artwork.
  • Set and confirm meetings and maintain calendars for agents and internal artist calendars.
  • Manage inbound phone calls on behalf of agents.
  • Book agent business travel as necessary.
  • Submit agent expense reports.
  • Manage show and festival guest lists.
  • Take on additional tasks and responsibilities as assigned.
Requirements
  • Previous experience in a Music Assistant role.
  • Excellent organizational skills.
  • Excellent communication skills.
  • Proficient with CRM systems, Outlook, and Word.
