Administrative Support Officer

About the Role
We are seeking a highly motivated and organized individual to join our team as a Secretarial Assistant. The successful candidate will provide administrative support to the Service Practitioner and Management Teams, while also assisting with ad-hoc administrative tasks for our Partnership and Regional/National offices.
Key Responsibilities
- Maintain accurate and confidential record systems, including children's case files, family files, volunteer files, management, and administrative records.
- Assist in the production of regular statistics/returns/forms on a range of topics and resources.
- Provide telephone and reception arrangements, including welcoming service users/members of the public and visitors, and applying sensitive listening skills to provide a calm influence.
- Assist in the processing of invoices and Imprest petty cash claims for goods and services.
- Perform keyholding duties, ensuring all windows and doors are secured, including the use of the building security alarm system.
Requirements
- Experience of Microsoft Office 365, including Outlook, Excel, Word, Teams, and PowerPoint.
- Excellent computer skills and attention to detail.
- An excellent telephone manner and the ability to communicate information clearly and accurately.
- Ability to work as part of a team or independently, according to Service needs.
- Previous experience of working within a busy office and handling highly confidential and sensitive information, with knowledge of GDPR.
- Previous experience of diarising calendar appointments and arranging meetings.
