Job Summary:

We are seeking an experienced Dental Office Manager Assistant to join our team at DentalZen. This is a challenging and rewarding role that requires excellent communication and leadership skills, as well as the ability to work effectively in a fast-paced environment.

Key Responsibilities:

  • Staff Supervision:">
    • ">
    • Oversee staffing and ensure each staff member understands their position, company policies, and receives appropriate criticism and/or training when needed.">
    • Act as a liaison between Associates and patients.">
    • Respond to conflict and provide conflict resolution.">
    • Identify successful career development opportunities for employees, communicate this to HR.">
    • Assist the Office Manager in maintaining staff schedules, covering absent staff, and reducing overtime.">
    • Ensure dental receptionists manage calls effectively, return calls, and identify necessary training.">
    • Participate in recruitment, identifies staffing needs, facilitates onboarding and training, and participates in offboarding and dismissal protocol with HR.">

  • Operational Supervision:">
    • ">
    • Assist Regional Office Manager in overseeing production and expenditure.">
    • Open and close the office, as required.">
    • Ensure inventory control and supports cost reductions.">
    • Complete administrative functions, including bank deposits, invoice processing, supporting accounts receivable, maintaining office email and mail, and preparing estimates for insurance.">
    • Maintain patient data according to regulations and company policies, ensuring secure record storage.">
    • Maintain a high level of professionalism and motivates staff.">
    • Maintain quality assurance with respect to dental procedures, customer service, sterilization techniques, and health standards.">
    • Represent office at corporate and management meetings, as required.">
    • Provide management and corporate reports, including production summaries and inventory counts.">
    • Ensure the clinic is stocked and operational, communicating needs to the Regional Office Manager.">
    • Support marketing initiatives.">
    • Take responsibility for office appearance and functionality, ensuring a safe, professional, and clean environment.">

  • Patient Experience:">
    • ">
    • Set the standard for communication with patients, responding efficiently and appropriately to patient needs.">
    • Take responsibility for smooth patient flow, handling situations that may slow or stop patient flow.">
    • Manage patient scheduling and directs patient traffic flow.">
    • Present treatment plans to patients when needed.">
    • Educate patients whenever possible and ensures staff members educate patients appropriately.">
    • Resolve patient issues in accordance with company policies and procedures.">

Requirements:

  • Minimum 2 years of experience in a similar role.">
  • Excellent communication and leadership skills.">
  • Ability to work effectively in a fast-paced environment.">
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.">
  • Estimated salary: $60,000 - $80,000 per year based on location and experience.">
