Urology Department Administrator Assistant

As a highly motivated and organised Receptionist/Administrator, you will play a key role in supporting the Norfolk and Waveney Urology Service.
Working within the Urology Department, you will be responsible for providing administrative support to the Continence Service and coordinating outpatient bookings.
You will be the first point of contact for all appointment bookings, liaising with clinicians as necessary, and ensuring the timely and accurate input of patient information onto the Patient Administration System (PAS).
This is a 15-month fixed-term position, and you will be based in our Norfolk Physiology Unit working alongside the Continence Specialist Nursing Team.
Main duties and responsibilities
- To provide administrative support to the Urology Continence Service, including coordinating outpatient bookings and reception duties.
- To deal with patients and external and internal staff enquiries in person or via the telephone, in a courteous and confidential manner.
- To ensure patients' safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
- To maintain a log of telephone requests for investigations, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
- To ensure appointment lists are maintained and prepared in readiness for clinical work.
- To obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
- To maintain a record of the transfer of notes to and from the department.
Person specification
- Good general standard of literacy and numeracy.
- Experience in NHS or customer service organisation.
- Good communication and interpersonal skills.
- IT skills - accurate data input.
- Flexible - able to multi-task and prioritise.
